Summary: The Property Administrator will provide essential administrative and operational support to the Property and Facilities Management team at a leading Commercial Property consultancy. This role is crucial for managing a portfolio of properties, focusing on lease administration, financial processing, insurance coordination, and client reporting. The position demands a high standard of service delivery and effective coordination of client meetings.

Key Responsibilities:

  • Provide full administrative support, including diary management, correspondence, filing, reporting, and document distribution
  • Maintain accurate and compliant property files, including leases, client reports, and statutory documentation
  • Update and maintain office procedures within the Property Operations Manual as required
  • Support lease administration activities, including lease abstraction and maintenance of property databases
  • Ensure tenant, lease, and critical date information is accurate and kept up to date
  • Process invoices in line with established accounting procedures, ensuring correct coding and supporting documentation
  • Raise and submit purchase orders
  • Produce and monitor aged debt reports and assist with arrears management in line with company and client policies
  • Process tenant recharges, including utilities, after-hours HVAC, and other recoverable costs
  • Ensure tenant and vendor Certificates of Insurance are current and compliant, including self-insured documentation
  • Assist with annual budget preparation and monthly financial reporting
  • Prepare and circulate collections and aged debt reports
  • Assist with the preparation of tenant service charge budgets and reconciliation packs
  • Support the creation of tenant handbooks, newsletters, events, and communications
  • Assist with tenant engagement initiatives, including anniversaries, seasonal activities, and training sessions

Key Skills:

  • Minimum of 1 year's experience in property administration, property management, or a related role
  • Commercial experience

Working for a leading Commercial Property consultancy the Property Administrator will provide comprehensive administrative and operational support to the Property and Facilities Management team, ensuring the efficient day-to-day management of a portfolio of properties. This role plays a key part in lease administration, financial processing, insurance coordination, document control, client reporting, and the coordination of client meetings, delivering a consistently high standard of service to our client.

Key Responsibilities

Administration & Office Support

  • Provide full administrative support, including diary management, correspondence, filing, reporting, and document distribution

  • Maintain accurate and compliant property files, including leases, client reports, and statutory documentation

  • Update and maintain office procedures within the Property Operations Manual as required

Lease Administration

  • Support lease administration activities, including lease abstraction and maintenance of property databases

  • Ensure tenant, lease, and critical date information is accurate and kept up to date

Financial & Arrears Support

  • Process invoices in line with established accounting procedures, ensuring correct coding and supporting documentation
