Summary: The Programme Administrator role within the Innovation Consortium (iiCON) Team at LSTM involves supporting project management activities aimed at accelerating the development of treatments for infectious diseases. The successful candidate will be responsible for project administration, logistics, finance, and event coordination, requiring strong organizational and communication skills. This position is integral to fostering collaboration among industry, academia, and the NHS. The role demands a proactive individual capable of working independently while maintaining regular communication with the project coordinator.
Key Responsibilities:
- Organise meetings and take minutes.
- Manage the iiCON and project inbox.
- Organise and maintain project documentation and manage SharePoint sites.
- Format and proof-read project reports, articles, and documents.
- Provide administrative support to maintain the iiCON Customer Relationship Management database.
- Instigate LSTM workflow processes.
- Oversee, organise, and coordinate travel and hospitality.
- Provide logistics and administrative support to research activities.
- Complete visa applications for the team.
- Coordinate the shipping of equipment and consumables to partner project sites.
- Process purchase orders, invoices, and expense claims in liaison with LSTM Finance Department.
- Make general or project purchases as necessary.
- Liaise with suppliers, service providers, etc. in relation to payments, expenses, and invoices.
- Keep track of all iiCON and non-iiCON engagements that meet reporting criteria.
- Work with the Senior Corporate Communications Manager to promote events.
- Lead the organisation of events.
- Develop and maintain relations with local councils, schools, and businesses for STEM outreach opportunities.
Key Skills:
- Excellent communication skills.
- Project-based general and financial administration experience, ideally within an academic environment.
- Relevant experience as a Programme Administrator.
- Computer literate with knowledge of Microsoft Office Applications.
- Experience of organising meetings and travel schedules for UK and international travel.
- Experience of organising internal and external events.
- Experience of establishing and managing SharePoint sites.
- Excellent planning, organisational, and administrative skills.
