Summary: The Operations Officer role at a public sector organization in Edinburgh involves ensuring the readiness of the Hearings Suite and associated equipment, managing audio-visual systems, and performing reception duties. The position requires strong administrative skills and the ability to support Health & Safety activities while liaising with various stakeholders. This is an office-based role for an initial 23-month contract, emphasizing customer service and operational efficiency. The role is classified as outside IR35.
Key Responsibilities:
- Ensure the Hearings Suite and associated equipment are ready for use at all times.
- Operate audio-visual and document display systems in public hearings and troubleshoot technical issues.
- Undertake reception duties, including receiving external visitors.
- Manage web-based meetings using WebEx and troubleshoot related issues.
- Set up workstations with IT hardware and support colleagues with IT equipment.
- Maintain a log of issues during Hearings and implement corrective actions as necessary.
- Manage incoming and outgoing mail, including courier services.
- Ensure meeting rooms and facilities are fit for use.
- Manage office equipment and ensure operational readiness.
- Handle requests for office stationery and ensure availability.
- Cover the role of the Macer during sickness and annual leave.
- Assist in reviewing and implementing standard operating procedures (SOPs).
- Support Health & Safety activities and ensure compliance with regulations.
- Assist in reviewing sub-contractor performance and monitoring SLAs.
- Undertake general administrative duties and ad hoc tasks as required.
Key Skills:
- Excellent customer service skills with a background in facilities or front of house services.
- Experience working with internal and external stakeholders, including senior management.
- Strong administrative skills and proficiency in Microsoft 365.
- Positive attitude and ability to deliver high levels of service.
- Experience with Health and Safety audits/inspections.
