Summary: The Operations Officer role at a public sector organization in Edinburgh involves ensuring the readiness of the Hearings Suite and associated equipment, managing audio-visual systems, and performing reception duties. The position requires strong administrative skills and the ability to support Health & Safety activities while liaising with various stakeholders. This is an office-based role for an initial 23-month contract, emphasizing customer service and operational efficiency. The role is classified as outside IR35.

Key Responsibilities:

  • Ensure the Hearings Suite and associated equipment are ready for use at all times.
  • Operate audio-visual and document display systems in public hearings and troubleshoot technical issues.
  • Undertake reception duties, including receiving external visitors.
  • Manage web-based meetings using WebEx and troubleshoot related issues.
  • Set up workstations with IT hardware and support colleagues with IT equipment.
  • Maintain a log of issues during Hearings and implement corrective actions as necessary.
  • Manage incoming and outgoing mail, including courier services.
  • Ensure meeting rooms and facilities are fit for use.
  • Manage office equipment and ensure operational readiness.
  • Handle requests for office stationery and ensure availability.
  • Cover the role of the Macer during sickness and annual leave.
  • Assist in reviewing and implementing standard operating procedures (SOPs).
  • Support Health & Safety activities and ensure compliance with regulations.
  • Assist in reviewing sub-contractor performance and monitoring SLAs.
  • Undertake general administrative duties and ad hoc tasks as required.

Key Skills:

  • Excellent customer service skills with a background in facilities or front of house services.
  • Experience working with internal and external stakeholders, including senior management.
  • Strong administrative skills and proficiency in Microsoft 365.
  • Positive attitude and ability to deliver high levels of service.
  • Experience with Health and Safety audits/inspections.
  • Excellent interpersonal and communication skills.
  • Strong problem-solving skills and ability to work autonomously.
  • Proven ability to work under pressure and meet tight timelines.

Salary (Rate): 145.20
