Summary: The Executive Assistant/Personal Assistant role in Belfast involves providing comprehensive administrative support to teams within Citi Research, a major investment bank. The position requires managing travel arrangements, assisting with marketing efforts, and maintaining data management tasks while ensuring confidentiality and effective communication. Key Responsibilities:

  • Organise and manage extensive travel arrangements including flights, hotels, visas, and transportation.
  • Prepare and distribute schedules and agendas for travel.
  • Process analysts’ expenses through the Travel and Entertainment Expense system.
  • Assist with data maintenance using Excel and Word.
  • Handle sensitive information with discretion.
  • Ensure public appearance requests are submitted and approved by internal compliance.
  • Maintain CRM client distribution lists and upload client contact information.
  • Create marketing schedules in Citi Velocity.
  • Coordinate meetings and conference calls with clients and colleagues.
  • Prepare and maintain marketing presentations using PowerPoint.
  • Assist with creating template reports using adapted Word templates.
  • Sourcing market and company information via the internet.
  • Create charts and graphics for reports and presentations.
  • Extract data from DataCentral for research reports.
  • Log meetings, calls, and events in CRM and manage client distribution lists.
  • Update and maintain internal databases with company/client contact information.

Key Skills:

  • 5 years’ administrative experience, preferably in financial services.
  • Proficient in Word, PowerPoint, and Excel.
  • Strong command of the English language (oral and written).
  • Excellent communication skills at all levels.
  • Strong teamwork ethic and proactive attitude.
  • Ability to handle confidential duties with discretion.
  • Methodical approach and strong organizational capabilities.
  • Ability to multi-task and re-prioritise tasks.
  • Accuracy and close attention to detail.
  • Ability to work under limited supervision.
