Key Responsibilities:
- Provide comprehensive secretarial and administrative support to senior leaders by managing diaries, screening calls, handling correspondence, and taking minutes.

An exciting opportunity has arisen for a highly dependable and considerate Executive Assistant to join a prestigious Financial Services organisation based in the heart of Canary Wharf. This role offers you the chance to provide essential administrative and secretarial support to senior leaders within the HR function, ensuring the smooth operation of their business activities. You will be at the centre of a collaborative and supportive team, working closely with Directors, Associate Directors, and other Senior Managers.
What you'll do:
- Provide comprehensive secretarial and administrative support to Directors, Associate Directors, and other Senior Managers by managing diaries, screening calls, handling correspondence, booking meetings and rooms, and taking minutes as required.
- Arrange all aspects of domestic and international travel in line with company policy-including visa applications, accommodation bookings, currency orders, itinerary preparation, and expense claims-to ensure seamless journeys for senior staff.
- Organise departmental events such as team meetings (including minute-taking), conferences, presentations, seminars, retreats, and off-site gatherings while ensuring all logistical details are meticulously managed.
- Prepare high-quality documents including PowerPoint presentations, business correspondence, factsheets, briefing notes, and reports-always meeting deadlines and maintaining accuracy.
- Maintain comprehensive filing systems (both electronic and hard copy) for managers and teams to guarantee instant retrieval of important documents when needed.
- Check travel expense reports and other expenditures against policy guidelines for relevant cost centres to ensure compliance with internal controls.
- Support or perform budget officer duties by managing purchase orders, checking recharges, processing departmental accruals, running housekeeping reports, and delivering requested financial updates.
- Act as departmental coordinator for IT, HR, stationery supplies; update intranet pages; maintain shared calendars; track weekly whereabouts; manage contact databases; and keep SAP HR records up-to-date.
- Assist with team portfolio management by updating project tracking systems (DTMs), informing teams of key dates, sending reminders about milestones or deliverables, creating new projects in internal systems, and providing regular pipeline updates to directors.
- Contribute to recruitment processes by assisting with interviews or training new secretarial staff; monitor workloads; set objectives; provide feedback as a secondary reviewer; ensure effective team cover at all times.
What you bring:
- Demonstrated experience in providing secretarial or administrative support within a professional services or corporate environment is essential for success in this role.
- Excellent organisational skills with exceptional attention to detail-your conscientious approach ensures nothing is overlooked even when managing competing demands.
- Outstanding written and verbal communication abilities in English are required; knowledge of another language such as Russian, German, French or Arabic would be advantageous but not mandatory.
- Proficiency in Microsoft Office applications (Outlook, Word, Excel, PowerPoint) is necessary; familiarity with SAP is desirable but not essential.
- A proven ability to multi-task effectively while remaining calm under pressure-especially when dealing with confidential or sensitive information discreetly.
