Key Responsibilities:
- Carry out all secretarial tasks and assist with administrative tasks as needed.
- Manage delivery of admin support and oversee activities of the Office Assistant.
- Create and amend documents and correspondence.
- Assist fee earners with financial management, including disbursements and billing requirements.
- Create monthly invoices for clients.
- Manage diaries for fee earners, arranging appointments and meetings.
- Maintain a confident telephone manner when dealing with clients and taking messages.
- Proofread, amend, and house style legal reports and documents.
- Collaborate with secretaries nationally on service delivery and process enhancements.
- Book inter-office travel and manage expenses claims.
- Support management of Court attendance across the team.
- Undertake LandWeb searches and schedule title deeds.
Key Skills:
- Previous Legal Secretary/PA experience, preferably in litigation.
- Strong IT systems skills, particularly in Outlook, Word, PowerPoint, and Excel.
- Experience with case management systems is ideal.
- Exceptional prioritizing and organizational skills.
- Strong communication skills and teamwork experience.
- Ability to self-manage a large workload in a busy environment.
- Confidence in delegating work.

We, TLT are recruiting an urgent Contract Legal Secretary to join our Financial Services Disputes and Investigations team in Belfast. This opportunity is a 3-month contract, offered on a hybrid working basis from the Belfast office and will be paid a day rate via an Umbrella Company.
Your Role
The successful Legal Secretary will play a key role in supporting the largest team in our Belfast office, helping to deliver an exceptional level of support to colleagues and our clients. You will work closely with our team’s Office Assistant, helping to manage tasks and ensure deadlines are met. The day-to-day activities will be critical to ensuring that the team’s administrative support is met and will including the following:
- Support the team by carrying out all secretarial tasks and help, when necessary, with all administrative tasks.
- Manage delivery of the admin support including the oversight of activities undertaken by the team’s Office Assistant.
- Creating/amending documents/correspondence.
- Assisting the fee earners with financial management e.g. disbursements, client balances, dealing with a range of client specific billing requirements.
- Create the monthly invoices to be issued to the clients.
- Diary management for all fee earners; arranging internal and external appointments and, making arrangements for meetings; booking meetings rooms or external venues as required.
- Confident telephone manner when dealing with clients, solicitors, barristers by phone and taking accurate messages.
- Proof reading, amending and house styling legal reports and documents.
- Working with secretaries nationally across the Group on service delivery and process enhancements.
- Booking inter-office travel and managing expenses claims.
- Supporting with management of Court attendance across team.
- Undertaking LandWeb searches and scheduling title deeds.
Your Skills and Experience
Previous Legal Secretary/PA experience is essential, preferably within litigation. Strong IT systems skills are required. Extensive experience in Outlook, Word, PowerPoint and Excel are required. Ideal candidate will have experience in case management systems. Exceptional prioritising/organisational skills. Strong communication skills and proven track record of working within a team. Strong ability to self-manage a large workload in a busy team. Confident in delegation of work.
