Summary: This role as a Business Support Administrator involves providing high-level administrative support to the Chief Operating Officer (COO) and other senior staff at St Mary’s University. Key Responsibilities:

  • Develop and maintain administrative systems to support the COO team.
  • Collate and process room bookings, purchase orders, stationery orders, invoices, payments etc.
  • Manage and keep up-to-date key budget spreadsheets.
  • Plan and manage allocated projects, liaising with stakeholders, arranging logistics and ensuring they are delivered on time.
  • Order goods and services as requested using established policies and procedures.
  • Assist the Business Support Officer with planning and delivery of events, meetings and committees.
  • Liaise with internal and external stakeholders.
  • Deal with enquiries, advising where possible, or re-directing the enquiry to the relevant department.
  • Assist with collating data and information to support the production of reports, briefing papers and presentations.
  • Provide responses to queries efficiently, maintaining a high level of customer service.
  • Support general scanning, photocopying or printing requests.
  • Using, maintaining and developing University systems and processes.
  • Model the University’s core values.
  • Operate as an effective team member of the COO team, undertaking other duties as required.

Detailed Description From Employer:

36 hours per week 18 months fixed term contract This role will provide high level administrative support to enable the smooth running of the office of the Chief Operating Officer (COO), creating and maintaining administrative systems, supporting project management and delivery, diary management, team planning (including organisation and minute-taking), communications and day-to-day management of purchasing, invoicing etc. The role will also provide administrative support to the Director of Estates and Campus Services, Head of Sports St Marys and the Academic Registrar as required.

Main Duties and Responsibilities

  • Develop and maintain administrative systems to support the COO team.
  • Collate and process room bookings, purchase orders, stationery orders, invoices, payments etc
  • Manage and keep up-to-date key budget spreadsheets.
  • Plan and manage allocated projects, liaising with stakeholders, arranging logistics and ensuring they are delivered on time.
  • Order goods and services as requested using established policies and procedures, and using electronic systems where necessary.
  • Assist the Business Support Officer with planning and delivery of events, meetings and committees, including away days as required.
  • Liaise with internal and external stakeholders (this includes, but is not limited to, a range of staff across the university, administrative, professional services and academic).
  • Deal with enquiries, advising where possible, or re-directing the enquiry to the relevant department
  • Assist with collating data and information to support the production and distribution of high-quality and accurate reports, briefing papers and presentations from the COO office and Directors within the COO area.
  • To provide responses to queries efficiently, maintaining a high level of customer service at all times.
  • Support general scanning, photocopying or printing requests.
  • Using, maintaining and developing University systems and processes to support the delivery of activities within the COO directorates.
  • Model the University’s core values, ensuring these are embedded in the ethos and activities of the team.
  • Operate as an effective team member of the COO team, undertaking other duties commensurate with the role.
