Key Responsibilities:

The Firm are well known for their stand-out expertise in the Technology, Media and Entertainment sectors. This sector knowledge is very much in the DNA of the firm, but their capabilities spread far wider than that. The private capital expertise enables them to support the clients, as well as to help them successfully develop, grow and protect their assets.
The Trade Mark Group (part of the IP Group) The well-established trade mark group consists of Chartered Trade Mark Attorneys and specialist paralegals and provides advice on all aspects of trade mark law, including clearance, filing and prosecution of trade marks, domestic and overseas portfolio management, and contentious trade mark proceedings before the Intellectual Property Offices. They also manage design portfolios. The team manages global portfolios across a range of industries, including media, arts, entertainment, telecommunications and consumer goods and work with a wide range of clients, from multinational corporations to SMEs and entrepreneurs.
The role They are looking for a Trade Mark Records Administrator to join the Trade Mark team on a six month short term contract to support the attorneys and paralegals and have responsibility for maintaining the trade mark records database, WebTMS and managing the diary. The TM Administrator may also support the team with general administration tasks and assist with streamlining processes. The responsibilities may include uploading and updating records on WebTMS; issuing diary reminders and prompts; auditing database records; assisting with projects such as change of name or address recordals and new client onboarding; preparing cost estimates; and processing bills and disbursements. The successful candidate will have excellent attention to detail skills, good deadline management, and be able to work on their own initiative as well as working as part of a team. They must have experience of using the WebTMS platform. They should be hard-working, enthusiastic and very organised.
Responsibilities Day-to-day duties may include:
- Managing and updating the trade mark and designs records database with applications, registrations and disputes. This will include adding records, producing reports, auditing records for accuracy and liaising with the company that licenses the database (WebTMS).
- Responsibility for entering and monitoring deadlines, running and distributing diary lists to attorneys and lawyers in the trade mark team and ensuring they have dealt with matters by the deadline.
- Assisting with ad hoc projects such as new client onboarding, and change of name and address recordal projects.
- Preparing and assisting with client cost estimates in relation to all trade mark fixed fee matters.
- Assisting with the preparation of invoice narratives, reconciling estimates, time recorded against invoices and money on account.
- Assisting with the preparation of disbursement forms to ensure official fees are logged.
- Working with attorneys and lawyers to set up and renew watch services.
- Managing incoming emails and paper correspondence.
- Assistance with the management of the domain name portfolio and renewal deadlines.
