About the Role
We are seeking an experienced SURF Lead Document Controller to join a major offshore energy development project.
The successful candidate will be responsible for ensuring the integrity, traceability, accessibility, and quality of project documentation throughout the engineering, procurement, construction, commissioning, and start-up phases of the project.
This is a leadership position requiring the supervision of a team of Document Controllers and close collaboration with project stakeholders, contractors, and operational teams.
Key Responsibilities
- Develop and implement document control processes in line with project requirements, industry standards, and contractual obligations.
- Lead and coordinate a team of Document Controllers, ensuring consistency and quality across documentation activities.
- Manage and maintain the Document Management System (DMS), ensuring its effective operation throughout the project lifecycle.
- Oversee the receipt, review, tracking, distribution, and archiving of project documentation.
- Manage project correspondence and ensure accurate recording and distribution.
- Act as the primary focal point for document control activities between the project team, contractors, and subcontractors.
- Support the preparation and handover of final project documentation to operations teams.
- Monitor contractor compliance with document numbering, formatting, and metadata requirements.
- Conduct document control audits and regular quality checks within the DMS.
- Coordinate with project planning and scheduling teams to align documentation deliverables with project milestones.
- Assist with administration and maintenance of collaborative platforms such as SharePoint.
- Generate document control reports, KPIs, and project documentation metrics.
- Provide guidance, training, and support to project stakeholders on document control procedures and systems.
- Ensure continuity of document control services during team absences and periods of increased workload.
Health, Safety & Environmental Responsibilities
- Comply with all project and company HSE requirements, policies, and procedures.
- Report safety observations, incidents, near misses, and non-conformances as required.
- Participate in HSE meetings, audits, inspections, and training activities.
- Promote a positive safety culture and safe working practices across the project team.
- Support office security and workplace safety initiatives.
Requirements
- Minimum 10 years' experience in Document Control within large-scale engineering, construction, energy, infrastructure, or industrial projects.
- Previous experience leading and mentoring Document Control teams.
- Strong knowledge of document management systems, document control methodologies, and information management principles.
- Experience working with Electronic Document Management Systems (EDMS).
- Proficiency in Microsoft Office and collaborative platforms.
- Excellent organisational skills with strong attention to detail.
- Effective communication and stakeholder management skills.
- Ability to work successfully within an international and multicultural project environment.
- Fluent English communication skills; additional languages are advantageous.
Preferred Experience
- Experience supporting offshore, subsea, SURF, EPC, EPCM, or major capital projects.
- Familiarity with project handover and turnover processes.
- Experience implementing document management procedures at contractor and subcontractor locations.
