Summary: The role of Secretary involves providing high-level administrative support to the General Manager and the department, focusing on schedule management, document handling, and event planning. Key Responsibilities:
- Co-ordinate with various parties to organize and maintain the GM schedule.
- Perform full spectrum of high-level administrative duties including scheduling conference meetings and calls, conduct research and preparing reports.
- Responsible for handling confidential documents and perform support duties that are highly confidential.
- Regularly interact with other business units which may have tasks that are more complex in nature.
- Review incoming correspondence, initiate reply as appropriate and route matter requiring actions and follow up to ensure actions are completed.
- Coordinated meetings, prepared agendas, and recorded minutes accurately.
- Provided comprehensive administrative and departmental support.
- Plan and organize department incentive trips, outings, and team events.
- Ensure department assets are properly maintained.
- Liaise with travel agencies for department staff travel requirements and arrangements.
Key Skills:
- Diploma in Business Administration or equivalent
- Proficient in Microsoft Office Suite and comfortable with various IT applications.
- Strong verbal and written communication skills.
- Detail-oriented with excellent time management and organizational abilities.
- 2 years of experience as a showroom concierge or brand reception.
- Background in hospitality or customer service roles is an advantage.
- Basic PC and IT skills for daily operational tasks
