Summary: The Sales Operation Coordinator at Club Med plays a crucial role in managing the financial processes related to Trade Partners and Meetings & Events clients within the Northern Europe Cluster. This position involves ensuring timely payments, managing supplier creation, and supporting the back office team in cash-related matters. The role requires strong analytical skills and a customer-oriented approach, contributing to the overall efficiency of the sales operations. The coordinator will work closely with the Trade and Meetings & Events Manager to maintain smooth operations across multiple markets.

Key Responsibilities:

  • Cash collection with Trade partners and Meetings & Events clients
  • Ensuring payments are received on time according to Terms & Conditions
  • Production of weekly statements to Trade and M&E partners
  • Produce credit card payment link to M&E clients
  • Bank statement and credit card payment reconciliation
  • Managing daily floats and resolving discrepancies
  • Managing chargeback cases
  • Reporting to track payments collection
  • Raising credit notes and bad debt recovery
  • Assisting M&E team with invoicing
  • Preparing self-billing invoices for M&E indirect with HMRC approved self-billing agreement
  • Supplier creation and PO edition
  • Initiating PO requests in COUPA
  • Sending remittances of payment to suppliers
  • Completing the tracker document from start to finish
  • Keeping CRM updated on all cash-related information
  • Preparing or assisting on credit vouchers/refunds to Trade Partners and M&E
  • Providing support for the team on all cash-related issues

Key Skills:

  • 2-3 years of experience in an admin position
  • Excellent phone and written manners and customer service skills
  • Good analytical skills
  • Customer-oriented with persuasive communication skills
  • Experience in a B2B sales environment
  • Understanding of the travel industry
  • Team player, proactive, and well-organized
  • Attention to detail and trustworthy
  • Fluency in English
  • Expert level in Excel (Formulas, Pivot tables, Macro creation is a plus)
  • Advance Microsoft Office skills (Word, Outlook, Teams, PowerBI)
