Key Responsibilities:
- Coordinate bookings and tracking of Professional Services, Solution Architects, and MCS Engineers.
- Monitor a skills matrix for Professional Services staff for appropriate resource allocation.
- Manage resource-coordinated projects without a full-time project manager.
- Resolve ERP errors related to project time recording with developers and accounts.
- Create project start-up and handover collateral for Project Managers.
- Assist Project Managers in project management and delivery per Proact UK PMO guidelines.
- Distribute project documents via Docusign and ensure completion of signatories.
- Provide regular reporting on closed won PS opportunities and resource map accuracy.
- Host weekly resourcing calls with various stakeholders and ensure project updates.
- Monitor and track outstanding 'banked' customer days with PMO.
- Participate in cross-departmental teams to meet organizational objectives.
- Support the Head of PMO with administration and meeting bookings.
Key Skills:
- GCSE Grade C or above in English and Maths, or equivalent qualification.
- Prince 2 – Foundation certificate.
- At least 1 year of experience in a resource coordinator role.
- Minimum of 1 year of experience utilizing an ITIL service management framework.
- Experience in coordinating resources and drafting documentation.
- Experience in customer interaction and working in a flexible team environment.
- Problem-solving abilities and experience with problem management.
- Understanding of IT industry change control processes.
- Ability to prioritize workload and manage time effectively.
- Excellent communication skills for clear interaction with customers and the business.

Position Overview
Main Duties and Responsibilities
- Coordinate bookings and tracking of appropriately skilled Professional Services, Solution Architects and MCS Engineers, including the management of the respective Resource Maps
- To monitor a skills matrix for all Professional Services staff so that bookings can be allocated to the correct resource
- Manage resource coordinated projects where a full-time project manager is not required
- Work with developers and accounts on a monthly basis to resolve any ERP errors relating to project time recording
- Tracking and monitoring of 3rd Party PS
- Creation of project start-up and handover collateral for the Project Managers
- To work alongside the Project Managers to assist in the management and delivery of projects in accordance with the Proact UK PMO guidelines
- To be responsible for the distribution of Project documents, via Docusign, and drive completion of all required signatories
- Regular reporting, including but not limited to - Weekly report on closed won PS opportunities to Head of PMO - Monthly check of resource map to pack data, to ensure revenue accuracy
- Host a dedicated weekly resourcing call with Head of PS & Head of PMO
- Host a weekly resourcing call with the Presales Manager
- Host and present resource availability on the weekly PMO call
- Host a weekly stakeholder call, prompting Project Managers for updates
- To host a weekly Out of Hours call, to ensure completion of prior work and readiness for future bookings
- To monitor and track all ‘banked’ customer days outstanding with PMO
- To take part in cross departmental working teams as required to meet organisational objectives
- Support and assist the Head of PMO including administration and booking meetings
