Summary: The Vendor Contracts Administrator (Ariba/SAP) is responsible for the execution and administration of contracts with external vendors, focusing on drafting and managing work orders under existing master agreements. This role involves ensuring compliance with internal policies and facilitating timely contract execution in collaboration with various departments. The position requires strong communication skills and the ability to manage multiple tasks effectively. The role can be performed remotely or in Walnut Park, California.

Key Responsibilities:

  • Draft work orders and statements of work based on approved vendor quotes and business requirements
  • Review applicable master agreements to confirm the master agreement is active and fully executed and the proposed work order is within contractual scope, term, and financial limits
  • Flag out of scope services, expired agreements, or missing contractual coverage and coordinate next steps with Legal, Procurement, and the business owner
  • Support contract negotiations by incorporating approved business terms and routing documentation appropriately
  • Act as a business liaison between vendors, internal business owners, Procurement, and Legal throughout the contracting process
  • Submit agreements and work orders for Legal review through Client internal submission tools
  • Obtain, review, and exchange required vendor and client documentation, including supplier information and tax forms
  • Drive cross functional communication to move contracts and work orders forward efficiently
  • Escalate stalled requests or issues that may impact timelines or compliance
  • Ensure contracts and work orders align with Client Legal guidelines and internal policies prior to Legal submission
  • Submit final agreements for signature in accordance with the Contract Signature Policy and Purchasing Approval Policy
  • Upload fully executed agreements and work orders into the contract management system
  • Prepare and submit purchase requisitions and change orders in Ariba
  • Track contract and work order status, duration, and volume; support reporting as needed
  • Serve as a point of contact for questions related to work orders, master agreements, and purchase requisition processes
  • Provide guidance to internal stakeholders on required contracting steps and documentation

Key Skills:

  • Bachelor's Degree and 3+ years of contract management experience OR High School Degree and 8+ years of contract management experience
  • Experience with contract negotiations for goods and services in a biotech, pharmaceutical industry or life sciences industry
  • Experience administering work orders under master services agreements
  • Familiarity with contract lifecycle management processes
  • Excellent interpersonal, verbal and written communication skills

Job Title: Vendor Contracts Administrator (Ariba/SAP)

Job Duration: 6 months
The Contracts Administrator supports the execution and administration of contracts with external vendors, with a primary focus on drafting and managing work orders under existing master agreements.
This role is responsible for ensuring that work orders are within the scope of the applicable master agreement, that the master agreement is active and valid, and that all required documentation, approvals, and purchasing steps are completed in compliance with internal policies.
The Contracts Administrator works cross functionally with Research, Translational Medicine, Legal, Procurement, and external vendors to facilitate timely contract execution and purchasing activity in support of pharma outsourced services.
Responsibilities
Draft work orders and statements of work based on approved vendor quotes and business requirements
