Summary: The Technical Project Administrator role is a temporary-to-permanent position focused on data management and project support within a remote working environment. The administrator will be responsible for ensuring data consistency, managing documentation, and supporting invoicing processes while liaising with clients and internal teams. This role offers the potential for a permanent position after 4-6 months of successful performance. Candidates should possess relevant qualifications and experience in facilities management and data integrity.

Key Responsibilities:

  • Cleansing of collectible data into the Asset Calc Tool
  • Work with the Asset Integrity Engineers to ensure data uniformity and consistency
  • Maintain Quality reports and transfer data to various clients’ systems
  • Standardise and professionalise project workflows and build templates
  • Manage documentation within various live projects
  • Oversee the weekly invoicing process
  • Support project planning with Integrity consultants
  • Liaise with specified clients to escalate service issues
  • Coordinate with BV & nonexclusive staff
  • Support maintenance of Competency and Security Clearance Records
  • Assist in issuing quotations and receiving client task orders
  • Monitor and validate monthly invoicing and resolve invoice queries
  • Support day-to-day inspection activities including travel support and resource provision
  • Own and be accountable for all duties carried out

Key Skills:

  • FM or similar relevant qualification and experience
  • Knowledge of HVAC-SFG20 or similar or proven trade
  • Data integrity, analysis, and management experience
  • Experience in FM beneficial
  • Understanding of FM Assets and HVAC SFG-20
  • Proficient in IT, Excel, and in-house systems
  • Customer service focus with effective communication skills
  • Understanding of quality assurance requirements – procedures and processes

Detailed Description From Employer:

Technical Project Administrator – temp-perm opportunity £20-22.50 per hour (experience dependent) + average 40hr week + 100% remote working with occasional travel to office HQs + opportunity for permanent position after 4-6months

Technical Project Administrator responsibilities include:

  • Cleansing of collectible data into the Asset Calc Tool
  • Work with the Asset Integrity Engineers to make sure data is uniformed and consistent across the full contract
  • Maintain the Quality reports and transfer of data to various clients’ systems
  • Standardising and professionalise project workflows and build templates.
  • Documentation management within the various live projects
  • Manage the weekly invoicing process
  • Focal point to support project planning with Integrity consultants
  • Liaise with the specified client(s) on an on-going basis to ensure service issues are escalated to the relevant senior person
  • Liaise with BV & nonexclusive staff
  • Support the maintenance of Competency and Security Clearance Records
  • Support the issuing of quotations and the receipt of client task orders
  • Monitor and validation of monthly invoicing and resolution of invoice queries.
  • Support the day-to-day inspection activities including but not limited to Travel support, Inspection Resource provision & resolving queries
  • Ownership and accountability of all duties carried out

Technical Project Administrator profile:

  • FM or similar relevant qualification and experience.
  • Must have knowledge of HVAC-SFG20 or similar or proven trade.
  • Data Integrity, analysis, management experience
  • Experience in FM beneficial
  • Must understand FM Assets and HVAC SFG-20
  • Proficient in IT, Excel and in-house systems
  • Customer service focus, able to liaise effectively with internal & external teams
