Mandatory Skills
- Proven experience managing and resolving payroll tax notices in partnership with ADP.
- Experience with tax registrations.
- Extensive experience with ADP SmartCompliance (this is a must-have).
- Strong Workday reporting knowledge.
- The ability to verify and research information thoroughly before responding to tax notices or taking action.
Key Responsibilities
- Prepare, review, and submit payroll tax filings and payments for federal, state, and local jurisdictions.
- Manage payroll tax filings through ADP and ensure all filing requirements are completed accurately and on time.
- Monitor payroll tax accounts and validate tax deposits, returns, and agency confirmations.
- Receive, research, and resolve tax notices from federal, state, and local tax agencies.
- Coordinate with ADP and government agencies to correct filing errors, payment issues, registration discrepancies, and penalty assessments.
- Track tax notices and resolutions using a centralized log, including due dates, actions taken, and final outcomes.
- Prepare responses, amended returns, payment requests, and supporting documentation for tax agencies.
- Reconcile payroll tax liabilities, tax deposits, agency balances, and general ledger accounts.
- Investigate discrepancies between Workday payroll records, ADP reports, tax filings, and agency statements.
- Support quarterly and annual payroll tax reporting, including Form 941, Form 940, W-2, W-2C, and applicable state and local forms.
- Assist with new state and local tax registrations, account closures, and jurisdictional setup.
- Review payroll tax withholding and unemployment tax rates and update payroll systems as required.
- Maintain accurate records of filings, payments, notices, correspondence, and agency account information.
- Identify process improvements to reduce filing errors, penalties, manual work, and unresolved notices.
