Summary: The Part Time Finance Officer will work closely with the Finance Director to manage financial processes, including invoice processing, payment setups, and grant management. Success in this role involves efficient handling of financial transactions and maintaining accurate records, contributing to the overall financial health of the organization. The position is designed to support the organization's funding programs and ensure timely financial reporting. This role is essential for maintaining effective communication with grantees and partners regarding financial matters.

Key Responsibilities:

  • Process supplier and contractor invoices through Dext, allocating transactions to the correct account and department
  • Set-up payment of supplier and contractor invoices using Xero and online banking (CAF Bank / HSBC)
  • Create and follow a grant payments schedule for TRIPs funding programmes
  • Ensure expense claims (from TRIP staff, trustees, contractors and volunteers) are processed and paid quickly and efficiently
  • Reconcile all bank accounts on Xero on an ongoing basis and in preparation for each month end
  • Raise sales invoices on Xero and email to clients as and when needed
  • Maintain a record of supporting documentation for all other income and expenditure
  • Maintain a record of grant recipients in receipt of multi-year funding
  • Monitor and update the Grants Register as required
  • Act as point of contact for grantees and partners regarding grant payments and finance reporting
  • Work with Managing Director and Assistant to the Directors on other administrative tasks associated with TRIP’s funding programmes

Key Skills:

  • Excellent IT skills, particularly knowledge and experience of Excel and Google Workspace
  • Previous experience of Dext, Xero or other computer based accounting systems and online banking is desirable
  • Strong administrative skills and attention to detail
  • Able to plan and prioritise effectively
  • Able to work on own, use initiative, and confident self-starter/finisher
  • Willingness to learn with a positive attitude
  • Enthusiasm to embrace our values

Terms & Conditions

  • The role is to be offered on a self- employed, contracted basis, to be invoiced at an hourly rate of up to £21.00 ph.
  • Training will be given.
  • The role is virtual.
  • The hours of work will be by mutual agreement.
  • The role comes with an expectation that should more (or less) hours be required, flexibility is available.
