Interim Estates Manager - Tenant and FM Coordination

The opportunity

We are looking for a practical, organised and confident Interim Estates Manager to provide additional support across a portfolio of community healthcare properties.

You will work closely with LIFTCo Boards, Head Tenants, facilities management service providers and internal teams, supporting property performance, compliance, lifecycle planning, inspections, reporting and risk management across the portfolio.

This is not a heavily technical or engineering-led position. It is a hands-on coordination role requiring someone who can manage a busy flow of emails, keep tenants and stakeholders informed, follow up outstanding maintenance issues and ensure planned and reactive works are properly coordinated.

You will act as an important link between tenants, building users, facilities management providers, contractors and internal colleagues. Much of the role involves ensuring the right people are communicating, agreed actions are followed through and issues are resolved without unnecessary disruption to building users.

The assignment would suit an experienced facilities, estates or property professional who is comfortable managing competing priorities, resolving conflicts and keeping several parties informed at the same time.

What you will be doing

  • Acting as a key point of contact for tenants, building users, facilities management providers and contractors.
  • Managing a busy estates inbox and responding to enquiries promptly and professionally.
  • Coordinating planned and reactive maintenance activity across the property portfolio.
  • Keeping tenants and building users informed about forthcoming works, access requirements, potential disruption and changes to schedules.
  • Identifying potential clashes between contractors, tenants and building activities, and coordinating workable solutions.
  • Following up outstanding maintenance issues and ensuring agreed actions are completed.
  • Escalating urgent, recurring or unresolved problems to the appropriate person.
  • Maintaining clear records of issues, actions, decisions and progress.
  • Monitoring the performance of facilities management providers and constructively challenging delays when necessary.
  • Helping to ensure buildings remain safe, compliant, operational and well maintained.
  • Coordinating minor works, repairs, inspections and other property-related activities.
  • Attending meetings with tenants, contractors and building users, primarily online with occasional face-to-face attendance.
  • Producing clear progress updates and straightforward management reports.
  • Supporting colleagues across the wider national estates team when required.

What we are looking for

  • You do not need to be a technical engineer, but you will need sufficient facilities or estates experience to understand maintenance issues, ask the right questions and coordinate an appropriate response.
  • You should have:
  • Previous experience in facilities management, estates, property management, asset management or building services.
  • Strong coordination and organisational skills.
  • Confidence and ability to manage a high volume of emails, actions and competing priorities.
  • Excellent written and verbal communication skills.
  • Experience working with tenants, contractors, facilities management providers or building users.
  • Strong stakeholder and contractor-management skills.
  • A sound understanding of statutory compliance and health and safety requirements.
  • The ability to manage difficult conversations and resolve conflicting requirements calmly and professionally.
  • A proactive approach, with the ability to identify potential problems before they become more serious.
  • Experience following up actions and holding suppliers or contractors to agreed timescales.
  • Ability to work independently from home and manage your own workload.
  • Good working knowledge of Microsoft Office, particularly Outlook, Word and Excel.
  • Flexibility to travel to properties and meetings when required.
  • A full driving licence and access to a car for business travel. Travel expenses will be paid.
  • Experience within healthcare, public-sector property, PFI, PPP or LIFT environments would be advantageous but is not essential.

The person

We are looking for someone who is approachable, resilient and comfortable bringing order to a busy workload.

You will communicate confidently with people at different levels, remain calm when priorities conflict and make sure that actions are not allowed to drift.

This is an excellent opportunity for an experienced facilities or estates professional who enjoys coordinating people, solving problems and helping to keep buildings running safely and effectively.
