Recruitment Administrator

Job Purpose

The Recruitment Administrator provides administrative support to the recruitment team, ensuring a smooth and efficient recruitment process from candidate attraction through to onboarding. The role involves coordinating interviews, maintaining candidate records, processing compliance documentation, and delivering excellent service to candidates, clients, and hiring managers.

Recruitment Administration

  • Support the end-to-end recruitment process for temporary, permanent, and contract vacancies.
  • Create and post job advertisements across multiple job boards and social media platforms.
  • Screen applications and accurately update candidate records within the recruitment database.
  • Arrange interviews and assessment centres, coordinating schedules for candidates and hiring managers.
  • Prepare interview packs and recruitment documentation.

Candidate Management

  • Act as the first point of contact for candidates throughout the recruitment process.
  • Obtain and process right-to-work documentation and pre-employment checks.
  • Chase outstanding compliance documents and references.
  • Ensure candidates are kept informed of application progress in a professional and timely manner.

Compliance & Onboarding

  • Complete recruitment compliance checks, including referencing, DBS checks, qualifications, and eligibility to work verification.
  • Ensure all recruitment activities comply with employment legislation, GDPR, and company policies.
  • Prepare onboarding documentation and support new starters throughout the onboarding process.
  • Maintain accurate audit trails and electronic records.

Administrative Support

  • Manage recruitment inboxes and telephone enquiries.
  • Prepare offer letters, contracts, and candidate information packs.
  • Produce reports and recruitment statistics when required.
  • Maintain accurate records on recruitment systems and databases.

Essential Skills & Experience

  • Previous administration experience.
  • Excellent organisational and time management skills.
  • Strong attention to detail and accuracy.
  • Ability to prioritise workloads and work to deadlines.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office applications, including Outlook, Word, Excel, and Teams.
  • Experience managing confidential information appropriately.
  • Strong customer service skills.

Desirable Skills & Experience

  • Previous recruitment or HR administration experience.
  • Knowledge of compliance processes and employment legislation.
