Summary: The Project Coordinator will support the Project Management Office by managing presales engagements and projects related to Professional Services in IT Networks, Infrastructure, and Systems. This role involves planning, scheduling, and coordinating projects while ensuring adherence to internal quality and cost objectives. The coordinator will act as a primary customer contact, manage resources, and maintain documentation, all while providing administrative support to project managers. The position is a fixed-term contract for 12 months, primarily based in Hemel Hempstead with a hybrid working arrangement.

Key Responsibilities:

  • Plan, monitor, and coordinate presales engagements, T&M, and Small Works projects.
  • Assist on larger deployments or programmes required by the PMO.
  • Act as the main PMO and internal point of contact for assigned projects.
  • Allocate resources and create high-standard documentation.
  • Adhere to OLAs and SLAs.
  • Update tickets promptly and report progress.
  • Manage project records and stakeholder relationships.
  • Identify and escalate risks/issues early.
  • Ensure customer satisfaction and compliance with company policies.
  • Manage 3rd party suppliers' engagement and deliverables.
  • Provide cover for teammates during absences.
  • General administrative support and ad-hoc tasks as directed, including diary management.
  • Support teammates and cover absences as required.

Key Skills:

  • Previous experience in a fast-paced PMO or contact centre environment.
  • Proven stakeholder engagement and customer service skills.
  • Adaptability to change and ability to learn in-house software and PMO tools.
  • Experience with ticketing systems and strong diary management skills.
  • Fluent in English - written and spoken.
  • Previous experience in an IT Services environment or B2B.
  • Qualifications: Ideally Prince2 Foundation or similar Project Management certification.
  • GCSEs or equivalent in Maths and English.
  • Proficiency in Microsoft Office applications.
  • Desirable: ITIL Foundation.

We are currently seeking a Project Coordinator to join our Project Management Office. In this role, you will be a key support coordinator in our dynamic and growing environment, focusing on presales engagements and projects for the delivery of Professional Services in IT Networks, Infrastructure, and Systems. You will manage the entire process for PS presales and installation engagements, serving our account management teams and customers. This includes planning and managing projects, which typically range from short-term engagements of less than 5 days to small projects lasting between 5 and 20 days, including scheduling. Your responsibilities will involve becoming a primary customer contact, understanding their requirements, allocating suitable resources, and producing all necessary documentation. You will use a ticketing system to manage requests and communication, working within defined KPIs, OLAs, and SLAs. Ensuring adherence to internal quality and cost objectives, your work will be driven by a customer service mentality. Additionally, you will provide administrative support to project and programme managers on larger deployments, ensuring that appropriate project governance and controls are maintained. Required Skills and Experience for this role include: Previous and demonstrable experience within a fast-paced PMO environment as a project coordinator or contact centre environment. Proven experience engaging with stakeholders, end users, end customers courteously and efficiently to provide information and resolve issues. Adaptable to change and has the ability to learn and use different inhouse bespoke software and up to date and current PMO tools Ticketing system experience, strong diary and calendar entry skills Fluent in English - Written and Spoken Desired Skills and Experience, Previous experience within an IT Services environment or b2b. Previous experience within an IT services environment or working with Sales teams Qualifications and Training Required Ideally Prince2 Foundation (or similar Project Management certification) GCSEs or equivalent in Maths and English Proficiency in Microsoft Office applications (e.g. Outlook, Excel, Word, PowerPoint) Desirable ITIL Foundation Working Pattern This role will be based in either our Hemel Hempstead HQ. A hybrid working pattern is expected 3 days in the office/ 2 WFH. Monday to Friday 09h00 to 17h30. This position is a fixed-term 12-month contract to cover an employee taking maternity leave.
