Purpose of the role

As a Project Administrator, you will be responsible for providing day-to-day administrative support to a large project team and liaising with the client team and stakeholders as needed.

As a Project Administrator, you will be responsible for Responsible for assisting with project processes as part of an integrated team.

Arranging meetings for the team - coordinating meeting set-ups e.g. booking conference rooms, AV equipment, and ordering catering.

Overview of senior leaders' diaries.

Managing, owning and assisting with project processes.

Assisting with updating Project Sharepoint pages.

Manage Co-Located Office duties as necessary (Access, Room bookings etc.).

Assisting in formatting written documents and preparation of presentations.

Assisting with coordination of client and team events.

Other ad hoc administrative support as required.

Co-ordinating Security Checks of staff and sub-contractors.

Requirements

  • IT literate/familiar with IT Systems
  • Experience of uploading/downloading from online collaborative websites
  • Quick to learn Arup own systems
  • Familiar using advanced PowerPoint, Visio, Sharepoint, Teams and Excel spreadsheets (containing macros)
  • Good communication skills
  • Good organisational skills
  • Pro-active and uses initiative
  • Problem solver
