Role Purpose

As a PMO Support (Document Control), the successful candidate will provide essential administrative and technical support, focusing on document control, data management, and information governance. This position plays a key role in maintaining structured project records and ensuring that all documentation is consistent, traceable, and audit-ready.

Project Management Office Administration

  • Provide day-to-day administrative support, including coordinating meetings and taking minutes using Microsoft CoPilot.
  • Track actions, decisions, and changes through existing digital tools.
  • Maintain the programme RAID Log and data registers (Risks, Issues, Assumptions, Dependencies, Change).
  • Ensure accurate and timely inputs for programme reporting.

Document Control and Information Management

  • Maintain project document repositories with a focus on correct filing, version control, and status identification.
  • Ensure consistent naming conventions and document metadata.
  • Manage controlled issuance and archiving of documents.
  • Support audits and assurance activities by ensuring records are complete and retrievable.

Data and Information Support

  • Maintain key PMO data assets such as schedules, reports, and dashboards.
  • Perform basic data quality checks to identify inconsistencies and escalate issues as needed.

Stakeholder and Supply Chain Support

  • Serve as a point of contact for project teams and suppliers regarding document submission and information management processes.
  • Assist in onboarding and offboarding activities related to systems access and information handling.

Essential Skills and Experience

  • Proven experience in a PMO, project administration, document control, or technical support role.
  • Strong understanding of document control processes and version management, particularly with protectively marked information.
  • Proficiency in Microsoft Office, particularly AI/CoPilot and SharePoint.
  • Excellent organisational skills and meticulous attention to detail.
  • Experience on large infrastructure or transformation programmes.
  • Experience in supporting reporting and dashboards, as well as knowledge of Common Data Environment platforms.
