Role Purpose

The PMO Analyst will provide dedicated support to a digital portfolio, helping to address resource requirements across PMO administration, resource management, finance governance, timesheet management, forecasting, and purchase order management.

The role will strengthen portfolio controls, improve data quality, and support consistent delivery governance across the portfolio.

Key Responsibilities

  • Provide PMO administration support to ensure portfolio meetings, governance routines, actions, decisions, and reporting cycles are managed effectively.
  • Support resource management activities, including maintaining accurate resource information, tracking capacity, and helping to identify resource gaps or conflicts across the portfolio.
  • Support effective finance governance through accurate financial tracking, timesheet compliance, forecasting updates, and cost control activities.
  • Monitor and support the timely completion of timesheets, ensuring entries are correctly coded and escalations are raised where required.
  • Support forecasting cycles by collating inputs, checking data quality, and ensuring forecasts are submitted on time and in line with governance requirements.
  • Manage and track purchase orders, ensuring PO information is accurate, current, and aligned with delivery and financial requirements.
  • Work collaboratively with portfolio leads, project managers, finance teams, and delivery stakeholders to improve consistency, visibility, and confidence in portfolio data.
  • Maintain trackers, logs, reports, and portfolio documentation to support effective governance and decision-making.
  • Identify opportunities to improve PMO processes, controls, and ways of working.
  • Provide ad-hoc support across the portfolio as required to ensure effective delivery and governance.

Key Skills and Experience

  • Previous experience working within a PMO, portfolio, programme, project, or governance support environment.
  • Strong organisational and prioritisation skills, with the ability to manage multiple activities, deadlines, and stakeholder requests.
  • Good understanding of finance governance, including forecasting, purchase orders, cost tracking, and timesheet compliance.
  • Strong Excel skills and confidence using Microsoft Office tools, including PowerPoint, Word, Teams, and SharePoint.
  • High level of attention to detail, with the ability to maintain accurate records, trackers, reports, and documentation.
  • Strong communication and stakeholder management skills, with the ability to follow up on actions and communicate clearly and professionally.
  • Ability to identify issues, challenge data where appropriate, and contribute to improvements in processes and controls.
  • Comfortable working in a fast-paced delivery environment with changing priorities.
  • Ability to work independently while collaborating effectively with a range of stakeholders.
