Role Overview
We are seeking an experienced Planview specialist to own and drive the strategy, hands-on administration, and technical delivery of our enterprise Planview platform.
This is a primary ownership role - you will be the person doing the day-to-day configuration, automation and reporting yourself, not overseeing a separate admin team.
The role blends product management, platform administration, and technical delivery to ensure Planview supports portfolio, programme and work-management processes, provides decision-ready reporting, and drives adoption and governance across the organisation.
You will own the Planview roadmap, backlog, integrations, and data model, and act as the key link between business stakeholders and the vendor/technical teams to maximise value from the platform.
Key Responsibilities
- Define and maintain the Planview product vision, multi-year roadmap and release plan, aligned to enterprise strategy and portfolio governance.
- Translate business outcomes into platform capabilities, prioritised features and technical work.
- Act as primary administrator and product owner for the Planview platform (Enterprise One/PPM modules), covering configuration, security, templates, workflows, custom fields and lifecycle rules - hands-on, day to day.
- Ensure system availability, performance, scheduled upgrades and patching, working with IT/hosting teams and the platform vendor.
- Own and prioritise the product backlog (enhancements, integrations, bug fixes, automations, technical debt) using value-based criteria.
- Work with engineering, integration and vendor teams to deliver changes on time and to specification; manage sprints/releases where applicable.
- Design, build and validate integrations between the platform and downstream/upstream systems (ERP/finance, HRIS, Agile tools, time tracking, BI/data warehouse, identity systems) using Planview Web Services, SOAP and automation tools.
- Build automations to reduce manual effort on operational processes (eg rate changes, timesheet adjustments, structural updates) using tools such as UiPath and Power Automate.
- Ensure the platform remains a trusted single source of truth for portfolio, financial, capacity and delivery data.
- Build and maintain executive dashboards, operational reports and ad hoc analytics using SQL and Power BI.
- Define and enforce data standards, naming conventions, required fields, workflows and governance controls.
- Monitor data integrity and usage; lead remediation efforts and continuous improvement to raise data quality and adoption.
- Support audit, compliance and financial reporting requirements related to PPM data.
- Act as the primary point of contact for EPMO, portfolio owners, finance, delivery leads, PMOs, resource managers and business units for platform needs and escalations.
- Drive user adoption through role-based training, enablement materials, release communications and community of practice activities.
- Lead process-to-tool change initiatives and adoption campaigns.
- Manage the relationship with the platform vendor and any integrator partners: contracts, support, roadmaps, escalations and annual renewals.
- Track licensing, usage and cost optimisation opportunities.
- Stay current on platform releases and industry best practice for enterprise PPM and Lean-Agile portfolio management.
Essential Skills & Experience
- 5-8+ years' hands-on experience as a Planview administrator/specialist (Enterprise One, Planview Portfolios, Planview PPM or Planview Enterprise) - genuine day-to-day platform ownership is required, not oversight of others doing the work.
- Strong working knowledge of SQL for report building and data validation.
- Experience with Power BI (or similar) for dashboard and report development.
- Experience with Planview Web Services, SOAP, and automation tools such as UiPath and/or Power Automate for integration, bulk data loading and process automation.
- Proven product management or platform ownership experience, including backlog management, user stories, acceptance criteria and release management.
- Strong understanding of portfolio, programme and resource management concepts (cost/benefit, capacity planning, financials, forecasting).
- Excellent stakeholder management and influencing skills in a matrixed environment; experience working with EPMO, finance and IT.
- Demonstrated change management, training and adoption delivery experience (running demos, training and feedback sessions across varied audiences).
- Strong analytical skills, attention to detail and ability to drive data quality improvements.
- Degree in a numerate, business, IT or related field, or equivalent experience.
Desirable
- Certifications such as PMP, SAFe, Planview Administrator/Implementer training, or Agile/Scrum.
- Prior experience as a Business Analyst, defining user stories and supporting Agile delivery.
- Experience with Jira and Confluence.
Interview Process
2-3 stages: an initial 30-minute screen with the Hiring Manager, followed by a 45-minute session with the Hiring Manager and Technical Product Owner.
