Summary: The People Services Assistant role is a 6-month hybrid position based in Leeds, focused on providing first-line support and administrative assistance within the People Advisory Services Team. The role involves managing various people lifecycle activities, including onboarding, staff changes, and offboarding, while also engaging in project work. The ideal candidate will demonstrate strong administrative skills, attention to detail, and the ability to communicate effectively across different stakeholders. This position offers a unique opportunity to contribute to operational improvements within the People Services Team.
Key Responsibilities:
- Provide first-line support to people, policy, and guidance enquiries from employees, line managers, and candidates.
- Issue hiring documentation and onboard new entrants, ensuring accuracy and timeliness.
- Administer staff changes, including personal information updates, promotions, salary changes, maternity leave, and transfers.
- Update the HR/People system with new starter and staff change information promptly and accurately.
- Notify managers periodically about the end of fixed-term contracts/secondments.
- Process road vehicle license requests and update relevant travel pass information.
- Resolve and correct errors or anomalies identified in People Services audits to prevent overpayments.
- Administer leavers documentation and system processing.
- Manage the query system, issue travel passes, and maintain the document management system.
- Support the management of the medical inbox and related programmes.
- Conduct final offer and contract quality checks.
- Process invoices for the people team and coordinate the Loyalty Voucher Scheme.
- Handle first-line escalations and queries from employees and managers.
- Carry out DBS Checks for appropriate roles across the business.
Key Skills:
- Experience in an administration role is an advantage.
- Highly motivated and flexible to work across a wide spectrum of people administration activities.
- IT literate, able to use Word/Excel with strong attention to detail.
- Strong team player and a good all-round communicator with solid verbal and written skills.
- Able to communicate effectively with different stakeholders and build good working relationships.
- High level of accuracy and attention to detail.
- Able to juggle different priorities with good time management skills and an efficient approach to workloads.
