Summary: The role of Part-time Project Administrator involves supporting a tier 1 mining client in Karratha by managing various administrative tasks, including travel arrangements, onboarding, and coordination of project activities. The position requires a proactive individual who can maintain SharePoint, assist with event management, and manage residential responsibilities related to the project. The ideal candidate will have experience in expense management and possess a valid C-class driver's license.

Key Responsibilities:

  • Manage and maintain SharePoint, including team banners and travel arrangements.
  • Book and manage travel arrangements for the leadership team.
  • Manage and coordinate onboarding tasks for contractors.
  • Support with calendar, Teams, and room bookings for the Project team.
  • Coordinate various activities for the Project, including Team Days and Training.
  • Coordinate catering for various events.
  • Coordinate the reward process for Personal Recognitions/Positive Notes.
  • Coordinate Project PPE/Uniform requests/Medicals/IT.
  • Assist project leads with initial project setup (systems).
  • Coordinate and prepare meeting minutes and attend weekly meetings.
  • Maintain org chart and people search information.
  • Arrange, order, and deliver team banners/posters as required.
  • Develop, monitor, and manage relationships with key partners/vendors.
  • Assist with event management.
  • Seek and implement innovative methods of improving productivity and safety.
  • Process reservations for PPE, water, and compliant books.
  • Manage and update notice boards with key information.
  • Manage fleet car hire bookings and reconcile costings.
  • Manage asset register.
  • Coordinate fuel keys, in-vehicle monitoring system keys, and gate cards.
  • Distribute parcel deliveries from drop points.
  • Provide transport assistance for team traveling to and from Karratha.
