Summary: The Outpatient Administrator (Band 2) role involves providing essential clerical support within the Outpatient Admin team, focusing on reception duties, medical record preparation, and handling telephone queries from both staff and patients. The position requires excellent interpersonal and communication skills, alongside strong administrative capabilities. The successful candidate will be responsible for ensuring patient data confidentiality and managing appointment bookings efficiently. This role offers both fixed-term and permanent contract options.

Key Responsibilities:

  • Provide administrative support for appointment bookings in the Outpatient Appointment Offices.
  • Liaise with nursing staff, consultants, and other disciplines.
  • Input computer transactions and update the patient system records.
  • Assist patients with general inquiries and ensure timely preparation of medical records for outpatient clinics.
  • Update the electronic patient casenotes tracking system.
  • Handle telephone and face-to-face inquiries constructively and sympathetically.
  • Ensure correct and prompt dispatch of letters to patients and GPs.
  • Distribute case notes and clinic lists accurately.
  • Manage own workload and prioritize tasks effectively.
  • Attend staff development reviews and mandatory training as required.
  • Undertake additional duties as directed by the Outpatient Appointment Manager or Supervisor.

Key Skills:

  • Good general standard of education including English and Maths grade A-C or equivalent.
  • Relevant experience in administration or clerical work within customer service.
  • Experience handling calls from the public.
  • Knowledge of Microsoft Office software packages.
  • Strong communication and interpersonal skills.
  • Good telephone manner.
  • Typing and keyboard skills in an office setting.
  • Desirable: Previous hospital/GP surgery experience and knowledge of the national ERS system and System One.
  • Experience dealing with complex and difficult calls and complaints.
