Summary: The Operations Officer role involves supporting the day-to-day operations of the Inquiry Hearings Suite and Facilities Management activities under the supervision of the Operations Team Leader. The position requires flexibility to work across various functions and includes responsibilities such as managing audio-visual systems, reception duties, and ensuring operational readiness of office equipment. The successful candidate will also assist in Health & Safety activities and administrative tasks while maintaining high levels of customer service. Training will be provided as necessary.
Key Responsibilities:
- Ensure the Hearings Suite and associated equipment are ready for use at all times.
- Operate audio-visual and document display systems during public hearings and troubleshoot technical issues.
- Undertake reception duties, including receiving external visitors.
- Manage web-based meetings using WebEx and troubleshoot technical issues.
- Set up workstations with IT hardware and support colleagues with IT equipment.
- Maintain a log of issues during Hearings and implement corrective actions as necessary.
- Manage incoming and outgoing mail, including courier services.
- Ensure meeting rooms and facilities are fit for use.
- Ensure office equipment is operationally ready.
- Manage requests for office stationery.
- Cover the role of the Macer during sickness and annual leave.
- Assist in reviewing and implementing standard operating procedures (SOPs).
- Assist with Health & Safety activities and compliance with regulations.
- Review sub-contractor performance and monitor Service Level Agreements (SLAs).
- Undertake general administrative duties.
Key Skills:
- Excellent customer service skills with a background in facilities or front of house services.
- Experience working with stakeholders at all levels, including senior management.
- Excellent administrative skills.
- Strong knowledge and experience of Microsoft 365.
