Temporary Administrative Support Officer required ASAP for initially 2 month assignment for this University team, based in East London

Day-to-day of the role:

  • PA Support:
  • Provide secretariat support to meetings and stand in for the Executive Assistant during absences.
  • Diary and Inbox Management Support:
  • Assist with diary management and minute taking as directed.
  • Finance and Procurement Support:
  • Support the procurement and finance teams with ordering, recharging, and reconciling monthly Purchase Order reports.
  • Manage goods receipting, close purchase orders, and handle customer queries and incidents.
  • Liaise with agencies regarding contractors, manage contractor timesheets, and ensure compliance with financial processes on Agresso.
  • Support software licence management and allocation.
  • Deliver to defined Service Levels Agreements (SLAs) and Key Performance Indicators (KPIs).
  • Continually seek opportunities to improve efficiency, continuity, and the customer experience of IT Services.
  • Departmental Administration:
  • Provide a range of administrative support across the IT Services directorate.
  • Maintain documentation on centralised processes and procedures.
  • Assist in organising events, managing room bookings, and updating the ITS webpage.
  • Manage departmental stationery and general equipment supplies.
  • Project Support:
  • Provide administrative support on special projects as directed.
  • General:
  • Adhere to and promote the organisation's Equal Opportunities and Health and Safety Policies.
  • Assist with other services across the Directorate as needed.
  • Prioritise and organise work independently, demonstrating initiative and adaptability to changing priorities.

Required Skills & Qualifications:

  • Proven experience in an administrative support role, preferably within an IT or similar technical environment.
  • Strong organisational and time management skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in using office software and financial systems like Agresso.
  • Ability to work independently with minimal supervision.
  • Knowledge of health and safety policies and equal opportunities practices

The successful applicant will have experience gained within a Higher Education environment
