Summary: STRABAG UK is looking for an experienced Office Manager to cover maternity leave for 12 months, focusing on the efficient operation of the office and support for senior management. The role involves managing office supplies, ensuring compliance with GDPR, and maintaining a professional working environment. The Office Manager will also handle correspondence, organize meetings, and oversee document control systems. Key Responsibilities:

  • Act as the first point of contact for office queries and visitors.
  • Ensure compliance with GDPR regulations across the office.
  • Manage the provision and supply of office materials, including stationery and furniture.
  • Respond to customer feedback and complaints via the website/mailbox.

STRABAG UK is seeking an experienced and highly organised Office Manager to provide maternity cover for a 12-month period. This role is central to ensuring the smooth day-to-day running of the office, supporting senior management, and maintaining an efficient, professional working environment. Your contribution to our company

First point of contact for all office queries and visitors. Ensure office wide compliance with GDPR regulations. Responsible for the smooth running of the office environment. Responsible for the provision and supply of stationery, printers and furniture within the office. Respond to Customers feedback and complaints via the website / mailbox. Administer and oversee any document control system for any office usage responsibility (i.e. utility bills / sub-contractor documentation etc). Ensuring office set ups are established and maintained in accordance with company’s standards. Ensure there are sufficient quantities of the appropriate PPE in the office to meet the requirements. Process monthly credit card and expense reports. Carry out office inductions for new starters. Carry out equipment checks on monthly basis and report findings (inc. annual PAT tests) Maintain high standards of cleanliness, and the upkeep of office environment Ensure ALL statutory notices are displayed and visible where appropriate. Provide weekly and cumulative schedules of materials, equipment and stationery order for the office. Keep a record of all visitors to the office for review. Recommend and provide the necessary training to up skill all members of the team. Carry out equipment checks on monthly basis and report findings (inc. annual PAT tests). Look for innovative solutions across the office and to share across the Group to increase productivity / reduce costs and ensure “best possible” solutions are achieved. Responsible for the contract cleaning within the office Organise and manage the Managing Directors inbox and diary. Co-ordinate the Business Unit Managers daily correspondence and communication. Make all travel and accommodation arrangements, when necessary, including all elements of international travel Organise and collate paperwork for board and management meetings, including agendas, note-taking, and following up on action points. Provide routine and ad hoc management information and reports. Manage internal/external communications and arrangements on behalf of the Business Unit Managers, including communication with other international business units within the group. Arrange external and internal meetings, as required. Create and maintain paper and computer-based filing systems. Always uphold confidentiality and respect sensitivities. Participate in ad-hoc tasks as and when required.
