Summary: The Document Control Assistant will oversee the document control process, ensuring the quality and accuracy of project materials and documents for construction. This role involves maintaining both electronic and physical document repositories, facilitating document retrieval, and ensuring compliance with company standards. The assistant will also collaborate with various departments to establish best practices and provide training on document management procedures.
Key Responsibilities:
- Create, update, and maintain electronic and physical document repositories for engineering documents.
- Assign document identification numbers and assist the engineering team with version control.
- Review documents for presentational accuracy, completeness, and adherence to standards.
- Facilitate document retrieval requests from authorized personnel.
- Ensure timely distribution of documents to relevant individuals or departments.
- Monitor document access and implement security measures.
- Perform regular audits of documents for accuracy and compliance.
- Identify and report discrepancies or non-compliance issues to management.
- Maintain an organized filing system for physical and electronic documents.
- Ensure documents are archived and disposed of according to retention policies.
- Collaborate with departments to establish document control best practices.
- Provide training and guidance on document management procedures.
- Assist in the preparation and formatting of documents as needed.
- Ensure documents meet internal and industry-specific standards.
- Perform other duties as assigned and comply with all policies and standards.
Key Skills:
- Bachelor Degree and 10 years of applicable experience or equivalent experience.
- Previous document management experience preferred.
- Independent problem-solving and analysis skills.
- Ability to interface with clients and vendors.
- High attention to detail, accuracy, and quality.
- Proficient in Microsoft Office including Word, Excel, and Access.
