Summary: The role of Senior Administrator/Legal Secretary involves supporting the daily operations of a global law firm in London, with responsibilities including training staff, managing office functions, and collaborating with various departments. Key Responsibilities:
- Manage diaries, meetings, expenses, and travel for partners and attorneys.
- Dictation using Big Hand.
- Coordinate events, meetings, training, webinars, and projects with Administrative Departments.
- Assist with Partner's Billings using the Billing system 3E.
- Provide word processing support and manage document flow.
- Assist with office space operations, including assessment and planning.
- Coordinate purchasing of equipment, furniture, and supplies.
- Plan and manage office events, including setup, registration, and budget management.
- Oversee office services such as mail, messenger, and reception/switchboard.
- Collaborate with the US team on emergency preparedness and disaster recovery plans.
- Train, mentor, and supervise administrative and operational support staff.
- Coordinate with HR on hiring, onboarding, and offboarding personnel.
- Liaise with partners, attorneys, and clients on time entries, billing, and collections.
- Act as a point of contact for conflict checks and support records management.
Key Skills:
- Minimum of 5 years of experience in an administrative role, preferably in a law firm.
- Strong technical skills, including proficiency with Microsoft Office Suite and document management systems.
- Excellent written and verbal communication skills.
- Ability to use own initiative.
- Ability to manage multiple priorities effectively and remain calm under pressure.
