Summary: The role of Senior Administrator/Legal Secretary involves supporting the daily operations of a global law firm in London, with responsibilities including training staff, managing office functions, and collaborating with various departments. The position requires a minimum of five years of administrative experience, preferably in a legal setting, and offers a hybrid working schedule. The successful candidate will be instrumental in overseeing office management and assisting with various administrative tasks. This is a temporary position with the potential for permanent placement.

Key Responsibilities:

  • Manage diaries, meetings, expenses, and travel for partners and attorneys.
  • Dictation using Big Hand.
  • Coordinate events, meetings, training, webinars, and projects with Administrative Departments.
  • Assist with Partner's Billings using the Billing system 3E.
  • Provide word processing support and manage document flow.
  • Assist with office space operations, including assessment and planning.
  • Coordinate purchasing of equipment, furniture, and supplies.
  • Plan and manage office events, including setup, registration, and budget management.
  • Oversee office services such as mail, messenger, and reception/switchboard.
  • Collaborate with the US team on emergency preparedness and disaster recovery plans.
  • Train, mentor, and supervise administrative and operational support staff.
  • Coordinate with HR on hiring, onboarding, and offboarding personnel.
  • Liaise with partners, attorneys, and clients on time entries, billing, and collections.
  • Act as a point of contact for conflict checks and support records management.

Key Skills:

  • Minimum of 5 years of experience in an administrative role, preferably in a law firm.
  • Strong technical skills, including proficiency with Microsoft Office Suite and document management systems.
  • Excellent written and verbal communication skills.
  • Ability to use own initiative.
  • Ability to manage multiple priorities effectively and remain calm under pressure.
  • Capable of working independently and as part of a team.
  • Discretion in handling confidential information.
