Summary: The role of Legal Secretary involves supporting partners at a prestigious law firm, focusing on managing client files and enhancing service delivery. This is a vital position for an experienced secretary seeking a short-term contract lasting three months. The candidate will be responsible for various administrative tasks, including document management and client onboarding. The position requires a proactive approach to improve efficiency and service quality.

Key Responsibilities:

  • Manage and coordinate end-to-end service delivery, including meetings, travel, and communications.
  • Onboard new clients in line with firm policies and risk management protocols.
  • Build and maintain strong relationships with internal and external stakeholders.
  • Provide support to various functions as needed, including reception coverage.
  • Collaborate on and edit client-facing documents, such as bids, proposals, and brochures.
  • Maintain and update client and contact information in the firm's CRM system (Interaction).
  • Assist with updating lawyer CVs and managing the firm's credentials database.
  • Manage the client file opening process, including conflict and money laundering checks.
  • Handle document production, formatting, and proofreading to ensure quality and consistency.
  • Assist with the billing process, from drafting pre-bills to finalizing submissions.
  • Support lawyers with expense preparation and submission.
  • Demonstrate a proactive, innovative mindset to improve service delivery.
  • Adapt to the priorities of assigned practice groups and commit to continuous improvement.

Key Skills:

  • Diploma-level education or equivalent.
  • Professional certification in a secretarial or administrative field is preferred.
  • Previous experience in a similar role within a professional services environment is required.
