Summary: The role of Legal Secretary involves providing high-level secretarial and litigation support to the Joint Head of the International and Group Litigation Department. Key responsibilities include managing the Head of Department's diary, organizing meetings, and handling administrative tasks related to legal documentation and client communication. The position requires a proactive approach to support the legal team and ensure efficient operations within the department. This is a 24-month fixed-term contract based in London.
Key Responsibilities:
- Manage the Head of Department's diary and arrange meetings, including logistical arrangements.
- Organize regular departmental and partners meetings.
- Act as point of contact for queries directed at the HoD, including external and internal communications.
- Organize complex trips for the HoD and the wider team.
- Produce and format correspondence and send paperwork to external parties on behalf of the HoD.
- Assist with filing and preparing court paperwork/bundles.
- Diarise and send invoices and payments for processing.
- Establish and maintain efficient electronic filing systems for legal professionals.
- Prepare files for archiving as required.
- Draft correspondence, take meeting notes, and prepare/format documents as requested.
- Undertake time recording and assist with the preparation and submission of bills.
- Distribute and despatch post, ensuring electronic copies are kept on file.
- Assist other departmental secretaries with general enquiries and payments.
- Promote teamwork by offering and seeking help as necessary.
- Undertake other ad-hoc duties as requested.
- Ensure adequate training is undertaken to deliver high-quality team coordination service.
- Support team members on the use of available technology.
Key Skills:
- Previous legal secretarial / PA experience.
- Proficient in MS Word, Excel, Case Management Systems, and Outlook.
- Fast and accurate audio and copy typing skills (approx. 70wpm).
- Strong verbal and written communication skills.
- Ability to take initiative and produce work accurately and efficiently.
- Proactive team member with multi-tasking and prioritization skills.
- Experience with case management systems and improving efficiency.
- Commitment to first-class client care and professional image.
- Ability to organize and prioritize complex workloads under tight deadlines.
- Interest and skills for occasional paralegal work.
