Legal Executive Assistant

About the Role

We are looking for a highly organised and proactive professional to provide comprehensive administrative and operational support to a busy team. This role is responsible for delivering exceptional client service while supporting business development, financial administration and day-to-day operations. The successful candidate will be confident managing multiple priorities, building strong relationships and ensuring work is completed accurately, efficiently and to the highest professional standards.

Key Responsibilities

  • Provide comprehensive administrative support to the team, ensuring the smooth running of day-to-day operations.
  • Coordinate and attend internal, client and project meetings, preparing agendas and taking accurate minutes where required.
  • Manage complex diaries, scheduling meetings, appointments and travel arrangements, including international travel where necessary.
  • Organise meeting rooms, catering, equipment and all associated logistics for meetings and events.
  • Support the planning and delivery of internal and external events, maintaining attendee lists and coordinating with relevant teams.
  • Assist with business development and marketing activities, including maintaining LinkedIn profiles, client databases and business development records.
  • Prepare and coordinate legal directory submissions, professional biographies, CVs, departmental profiles and client newsletters.
  • Deliver a professional, responsive and proactive service to clients, acting as a key point of contact for enquiries where appropriate.
  • Create, maintain and update client and matter records, ensuring information is accurate, compliant and up to date.
  • Support compliance processes, including conflict checks, client onboarding, risk assessments and client identification procedures.
  • Prepare reports, presentations, correspondence and legal documentation to support fee earners and the wider team.
  • Produce financial and management reports and maintain internal systems and databases.
  • Support file management and coordinate regular file reviews to ensure compliance with internal procedures.
  • Assist with financial administration, including preparing billing information, producing draft bills and proformas and issuing client invoices.
  • Liaise with finance teams, clients, barristers and external professionals regarding invoices, payments and finance queries.
  • Raise purchase orders, process expenses and maintain accurate financial records and reporting systems.
  • Support annual rate reviews, client terms of business and other financial administration activities.
  • Process timesheets, annual leave and sickness records where required.
  • Take ownership of tasks from instruction through to completion, using initiative to prioritise workload and meet deadlines.
  • Build effective working relationships with colleagues, clients and external stakeholders while maintaining confidentiality and professionalism at all times.
