Summary: The Infrastructure Administration Officer role in Helensburgh involves supporting estate utilization and infrastructure planning while ensuring effective coordination and stakeholder engagement. Key Responsibilities:

  • Provide administrative support to infrastructure planning and estate utilisation activities, ensuring alignment with strategic objectives and governance frameworks.
  • Support the coordination and ongoing management of estate siting and space allocation processes.
  • Act as secretariat for governance and planning meetings, including organising meetings, preparing agendas, taking minutes and tracking actions.
  • Maintain accurate records, plans and documentation, ensuring information is appropriately stored, version-controlled and communicated.
  • Assist with the development and maintenance of risk and issue registers, liaising with stakeholders to support mitigation and resolution.
  • Support formal infrastructure and estate change processes by coordinating inputs and tracking agreed actions and deliverables.
  • Assist infrastructure and estate planning teams by coordinating requirements through defined approval and delivery processes.
  • Support early and ongoing engagement with internal and external stakeholders to ensure clear communication and strategic alignment.
  • Provide administrative support to long-term estate and infrastructure planning initiatives and programmes.
  • Assist in maintaining alignment with relevant asset, estate and infrastructure management plans and best practice.

Purpose of the job

This role supports estate utilisation, infrastructure planning and formal change processes, ensuring effective coordination, documentation control, and stakeholder engagement. The successful candidate will work closely with managers and operational teams to help ensure infrastructure and estate activities align with long-term strategic objectives and governance requirements.
