Role Description This is a contract role (with the possibility of a permanent role in the future) based on-site in Orpington for a Hybrid Construction Document Controller (Procore Specialist) & Quality Assurance Operative. The role involves managing and organising project-related documentation, ensuring compliance with company and warranty standards, utilising Procore software for streamlined document control, and maintaining accurate records. Additionally, the role includes supporting quality assurance processes by undertaking onsite QA inspections and collaborating with team members to ensure project standards are upheld.
Key Responsibilities
- Procore System Management Set up, configure, and maintain project folders, workflows, submittals, RFIs and permissions within Procore. Ensure all documentation is uploaded, categorised, and stored according to McCullochs protocols. Act as the internal “Procore Champion,” supporting teams with day-to-day navigation, troubleshooting, and system usage. Monitor Procore for overdue tasks, missing information, and workflow bottlenecks, escalating where required.
- Document Control & Administration Manage incoming and outgoing documents including specifications, RFIs, submittals, programmes and correspondence. Ensure accurate version control and secure storage of all documents in line with McCullochs’s quality procedures. Distribute technical documents to the correct stakeholders, ensuring the latest revisions are always in use. Manage controlled issue of documents to subcontractors and consultants. Carry out periodic audits of Procore project folders and document compliance. Support tender and procurement documentation preparation and filing.
- Quality Assurance & Compliance Assist in developing a new Quality Assurance Protocol for McCullochs Carry out stage inspections in line with build programme and structural warranty requirements Maintaining geo-located photographic evidence as build progresses for QA Maintain quality control checklists and inspection records Identify and resolve defects proactively before CML Ensure materials and workmanship meet company standards Liaise with Projects Manager regarding recurring quality issues
- Training & Continuous Improvement Deliver basic training to new staff and subcontractors on Procore usage and McCullochs document control procedures. Contribute to refining and improving document control workflows and templates. Support implementation of new features within Procore to enhance operational efficiency.
Requirements Proven experience as a Document Controller in the Design & Build or construction industry, ideally in residential new-build. Strong skills in Document Management, Project Documentation, and Records Management Proficiency in managing Documentation processes and systems Excellent Communication skills for team collaboration and stakeholder engagement Familiarity with Procore software is required Experience in quality assurance processes in a construction setting is advantageous Ability to work efficiently on-site and meet deadlines Previous experience in a similar role within the construction industry is preferred
