We are looking for a strong, systems savvy administrator who is astute , personable and who can work with pace , agility , and responsiveness to business needs on a fixed term contract basis until end of the year . This role would be ideal for a recent graduate, with an interest in HR who's keen to gain corporate experience. This fixed-term role will support the HR and Learning & Development teams in the ongoing development of our workflows and various applications and HR systems. You will play a key role in improving the usability of our HRIS and LMS, and helping to systemise HR processes to reduce manual administration and improve efficiency.
Responsibilities:
- HRIS, Data & Systems Support: Carry out high-volume data entry and data maintenance activities in Excel and within the HRIS, ensuring records are complete, up to date and well-structured. Use Excel to cleanse, manipulate and validate data (e.g. VLOOKUPs/XLOOKUPs, simple formulas, filters, pivot tables where required). Present data in a clear, logical and easy-to-read format for HR colleagues and stakeholders. Support ongoing HRIS improvements, including identifying data gaps, inconsistencies and opportunities to streamline system usage.
- Process Improvement & Documentation Assist with writing, reviewing and updating process maps for HR and L&D processes. Map existing HR processes and identify opportunities to systemise and automate steps where possible. Support initiatives aimed at reducing manual intervention and improving efficiency across HR activities. Ensure documented processes are clear, practical and easy for others to follow.
- Team Support Carry out new joiner onboarding calls and graduation calls on a rota basis Providing induction packs to new joiners and ensuring that hiring managers / heads of office are kept up to date. Support the develop the tech to enable a less administrative process. Provide administrative and coordination support to the HR and L&D teams as required. Maintain confidentiality and handle sensitive employee data in line with data protection requirements. (LMS – Learning Management System) Support to the learning team: Assist with organising the LMS to improve usability and navigation. Review learning categorisation to ensure learning is easy for employees to find and relevant to their role. Support tagging, naming conventions and content organisation to improve the overall learner experience. Work with L&D colleagues to ensure learning pathways and resources are clearly structured and accessible.
About You Knowledge & Experience Strong attention to detail with a high level of accuracy when working with data. Comfortable working with large volumes of information and repetitive tasks while maintaining accuracy. Confidence using Excel for data cleansing and manipulation (including VLOOKUPs/XLOOKUPs and basic formulas). Ability to organise, structure and present data in a clear and user-friendly way. Strong written communication skills, with the ability to produce clear process documentation.
