Summary: The HR and Office Administrator will collaborate closely with the Senior HR Manager to provide comprehensive support across the employee life-cycle, implement HR processes, and manage office operations. This role requires strong communication and organizational skills, as well as the ability to handle confidential information. The candidate will also assist with administrative tasks, including travel arrangements and diary management. This position is primarily office-based with some flexibility for remote work.

Key Responsibilities:

  • Managing the end-to-end process of recruitment and onboarding, ensuring adherence to EDI policy.
  • Creating recruitment packs using Canva.
  • Advertising using appropriate job boards.
  • Liaising with agencies to source candidates when necessary.
  • Scheduling interviews and seeking references, DBS checks, contracts, etc.
  • Organising equipment and inductions.
  • Updating and maintaining the organisational chart.
  • Managing leavers, including arranging collection of equipment and notifying finance and IT.
  • Conducting exit interviews.
  • Managing employee or HR data confidentially for various HR tasks and projects.
  • Supporting the implementation of various policies and maintaining HR systems.
  • Assisting with payroll and pension matters as required.
  • Supporting benefits renewal and administration.
  • Being the first point of contact for internal HR queries.
  • Processing HR and Office related invoices.
  • Coordinating ‘Lunch and Learn’ sessions with colleagues.
  • Managing general email boxes for the organisation and specific teams.
  • Maintaining relationships with relevant building staff.
  • Managing incoming and outgoing post.
  • Assisting the Executive Assistant to the Secretary General with diary coordination and travel planning.

Detailed Description From Employer:

We are seeking a HR and Office Administrator who will work closely with the Senior HR Manager providing advice and support to managers and staff across the full range of employee life-cycle activities. As well, this role will assist with the implementation and improvement of processes and policies, HR systems and data and provide pragmatic advice to managers and staff on HR matters such as probation, attendance, performance management and leaver processes. Additionally, this role will support in the management of the office ensuring its smooth operation which includes but is not limited to; health and safety, liaising with building’s facilities management company, and ensuring the safe and efficient day-to-day management for employees. As well they will provide general administration of the organisation including working on complex international travel arrangements, comprehensive diary management, and acting as the point of contact for existing and potential business partners and contacts. This role will suit a candidate who has previous administrative experience either in office management or HR. The ideal candidate will have strong written and verbal communication, an excellent eye for detail and strong organisational skills. They will have a positive and flexible approach to their work, demonstrating ability to problem solve. A people person with the integrity and ability to hold confidential information is vital for this role. This is a primarily office-based role with some flexibility around working from home.

  • Assist the Executive Assistance to the Secretary General in providing support to the Secretary General and Senior Leadership Team, including diary coordination, meetings, key projects and travel planning.
