As this organisation continues to grow across the UK and Europe, its people data, systems and documentation need to grow with it. This newly created six-month role offers a fantastic opportunity for an organised and curious HR professional to play a key part in strengthening the foundations of the People function.
This is a hands-on, project-focused role designed to address historical gaps, bring order to complex records and introduce consistency to how people information is captured and maintained. Sitting within the People team, the HR Administrator (Projects) will work closely with senior People stakeholders and a dedicated People Data & Systems Project Lead, who will set clear priorities and standards.
The work completed in this role will directly contribute to building a single, trusted source of truth within the organisation’s HR system and ensuring people files accurately reflect the business today.
What the role will focus on:
Mapping and cleansing people data
- Locating people data across a variety of sources, including contracts, spreadsheets, payroll files, shared drives, archived emails and legacy systems.
- Logging findings clearly and consistently to identify gaps, inconsistencies and source issues.
- Updating and backdating records in the HR system and supporting trackers, in line with agreed standards.
- Running reconciliations (for example, HR system versus payroll) and clearly flagging discrepancies.
Improving historical documentation
- Auditing employee files and document packs across multiple entities and locations.
- Identifying missing, outdated or inconsistent documents and recording these accurately.
- Reorganising and renaming digital files so information is stored logically and consistently.
- Maintaining trackers and audit logs to evidence progress and outstanding actions.
Preparing for future contract review work
- Collating and organising current and legacy employment contracts.
- Creating clear comparison schedules that highlight differences, anomalies and gaps.
- Ensuring data and file structures are accurate and robust to support future decisions.
- Assisting with the preparation of employee lists, change logs and supporting documentation.
How you’ll work:
- This is a detailed, investigative and practical role, ideal for someone who enjoys getting into the detail and making sense of complex histories.
- The HR Administrator (Projects) will work closely with the Project Lead, taking direction on priorities and standards, while being comfortable working independently once objectives are clear.
- A high level of care, discretion and attention to detail is essential when handling sensitive information.
What you’ll bring:
- Experience working with people data, HR systems or structured datasets (experience with HiBob is an advantage but not essential).
- Confidence using spreadsheets, trackers and digital file structures, with a strong eye for detail.
- A systematic, organised approach and a genuine desire to leave things better than they found them.
- Professionalism and discretion when handling confidential information.
- Curiosity and persistence, with an enjoyment of untangling messy records and closing loops.
