Summary: The Group Payroll Administrator will manage the processing of weekly and monthly in-house payrolls while coordinating with a global payroll bureau for outsourced payrolls. The role is based in one of the offices located in Southampton, Guernsey, or Jersey, and is offered on a 6-month fixed-term contract basis.
Key Responsibilities:
- Process monthly payroll for in-house and outsourced payrolls.
- Review employment activities that may cause payroll variances.
- Manage central payroll inbox to collate changes by payroll cut-off date.
- Prepare calculations for pay variations using existing systems or manual methods.
- Run gross to net and pay period comparison reports, reviewing variances.
- Obtain required approvals and perform 4 eye checks.
- Address issues raised during review prior to sign-off.
- Pass signed payroll bundle to finance for final approval and execution.
- Maintain payroll process notes and investigate employee pay issues.
- Identify temps and students for weekly pay, prepare calculations, and submit to Finance.

We are seeking a Group Payroll Administrator on a 6 month fixed term contract basis to be responsible for processing our weekly and monthly in-house payrolls as well as liaising with our global payroll bureau regarding our outsourced payrolls. The post holder will work closely with the HR team to ensure a smooth and efficient payroll service to the business. This is a full time role that can be based in one of our Southampton, Guernsey or Jersey offices.
Principal duties:
- Process monthly payroll for our in-house and outsourced payrolls
- Review employment activities that may give rise to a monthly payroll variance – e.g. joiners, leavers, overtime, variation in hours, pay review, bonus award, tax rate changes, maternity pay, sick pay, unpaid leave etc.
- Manage central payroll inbox to ensure all changes are collated by the relevant payroll cut-off date
- Prepare calculations for each variation of pay, using either existing systems or manual calculation
- Run gross to net and pay period comparison reports and review variances from previous pay period
- Obtain the required 4 eye check and approvals
- Deal with any issues raised at review prior to sign off
- Pass the signed off payroll bundle to finance for final approval and execution
- Deal with any payroll issues identified at the processing stage
- Maintain payroll process notes
- Investigate employee pay issues
- Identify temps and students for weekly pay, prepare calculations, obtain relevant check and approval and submit to Finance for execution
The ideal candidate will have:
- Payroll administration processing experience (essential)
- Strong academic background with good numerical aptitude
- Good Microsoft Excel skills
- Good verbal and written skills
- Able to preserve the utmost confidentiality in relation to all sensitive aspects of work
