Summary: The Finance & Administration Officer will play a crucial role in supporting the financial and administrative functions of Chiddingstone Castle, a charity dedicated to fostering an inclusive workplace. This position involves implementing financial policies, managing budgets, and providing administrative support to ensure smooth operations. Key Responsibilities:
- Implement financial policies and procedures, ensuring timely completion and effective budget management.
- Check, process, and record all invoices for payment and expenses claims.
- Perform bank reconciliations and resolve any reconciling items promptly.
- Reconcile balance sheet accounts monthly and address any anomalies.
- Support budget reviews and prepare monthly reports for the CEO.
- Provide information on income statements and balance sheets as needed.
- Assist with the annual audit in collaboration with accountants.
- Maintain accurate records on payroll and finance systems.
- Analyze data and create reports for the CEO, Trustees, and auditors.
- Verify and code timesheets and hours worked.
- Input data for monthly payroll processing.
- Respond to visitor inquiries via email and phone, redirecting as necessary.
- Receive and check deliveries, distributing items as required.
- Welcome out-of-hours visitors via the intercom system.
- Complete weekly stationery orders and monitor office equipment.
- Communicate monthly with the village and residents about events affecting operations.
- Maintain positive relationships with suppliers and volunteers.
- Support the team in achieving the strategic aims of Chiddingstone Castle.
- Perform additional duties as requested by the Chief Executive and Trustees.
