We are currently working in partnership with a higher education provider, who are recruiting for an Executive Personal Assistant within School Operations on a 12-week contract with potential for extension.
The ideal candidate will have experience in an executive assistant or senior administrative role, including complex diary and office management.
Duties will include:
- Managing a comprehensive and dynamic diary, balancing competing priorities and proactively advising on deadlines and key events
- Developing and maintaining effective administrative, record-keeping and information-management systems
- Coordinating meetings, preparing agendas and briefing materials, circulating papers, producing accurate minutes and monitoring follow-up actions
- Prioritising and responding to internal and external communications, including emails, letters and telephone calls
- Liaising with senior officers, academic and administrative departments, and external organisations to ensure effective communication
- Supporting governance and committee activity, including confidential records, reports, queries and full committee administration
- Producing reports, letters, papers, presentations and correspondence on own initiative
- Supporting external visits, events and ad hoc projects, including research, collation and presentation of information
Experience required:
- Significant demonstrable experience of managing an office and maintaining electronic and paper-based filing systems
- Experience of working in higher education and servicing committees would be advantageous
- Advanced Microsoft Word, Excel and PowerPoint skills
- The ability to produce accurate, timely minutes and action records
- Sound understanding of information governance and the ability to handle sensitive information with discretion and confidentiality
- Significant prior experience of executive assistant or senior administrative roles including complex diary management
Working hours:
- 37.5 hours, Mon-Fri, 9am-5pm
- Hybrid working, with up 2 days working from home
