  • Develop relationships with other Assistants for buddy cover during absences.

  • Prepare correspondence and manage documentation with attention to detail.
  • Provide comprehensive telephone coverage and manage incoming/outgoing mail.

An opportunity has arisen for an experienced Executive Assistant to join a prestigious financial services organisation in the heart of Canary Wharf. This is a highly visible role supporting senior leaders within the Legal and Compliance division, offering you the chance to work alongside a knowledgeable and supportive team.

What you'll do:

As an Executive Assistant Legal and Compliance based in Canary Wharf, you will play a pivotal role in supporting a Managing Director along with their team of Executive Directors and Vice Presidents. Your day-to-day activities will include:

  • Manage complex diaries for senior executives, proactively resolving scheduling conflicts and prioritising time-sensitive meetings with careful consideration for all stakeholders involved.
  • Coordinate all aspects of travel arrangements including flights, hotels, currency exchange, taxis, and detailed itineraries while ensuring compliance with company expense policies.
  • Organise conference calls, video conferences, room bookings, AV equipment setup, catering requirements, dial-in numbers, and ensure seamless execution of all meeting logistics.
  • Liaise professionally with internal colleagues at all levels as well as external clients such as regulators and legal counsel on confidential matters requiring discretion and sensitivity.
  • Process expense claims promptly and accurately within policy guidelines, ensuring timely submission to meet accounts payable deadlines.
  • Handle invoice processing.
  • Develop strong working relationships with other Assistants across the department to provide reliable 'buddy cover' during absences or busy periods, ensuring continuous support for the team.
  • Devise and maintain effective administrative processes that foster an organised environment for both yourself and those you support.
  • Prepare correspondence with meticulous attention to detail-including PowerPoint presentations-and manage printing and collation of meeting documentation as required.
  • Provide comprehensive telephone coverage by fielding calls professionally, responding to enquiries efficiently, managing incoming/outgoing mail swiftly, and keeping handover notes up-to-date for smooth transitions.
