Our client is seeking a highly skilled and dynamic Executive Assistant to support the Digital Commercial Centre of Excellence (DCCoE) within the Department for Science, Innovation & Technology (DSIT). This is an exciting opportunity to play a vital role in transforming government operations through innovative digital solutions.

Key Responsibilities

  • Provide comprehensive diary management for two Deputy Directors, ensuring priorities are accurately reflected and conflicts are proactively managed.
  • Coordinate domestic and international travel logistics, handling bookings, itineraries, and supporting documentation for seamless travel experiences.
  • Support effective mailbox management by triaging emails, drafting responses, and ensuring timely follow-up on actions.
  • Organise and coordinate internal and external meetings, preparing agendas, circulating papers, and ensuring all logistical arrangements are in place.
  • Act as a key liaison between Deputy Directors, other Private Offices, and stakeholders, ensuring seamless coordination of activities.
  • Build and maintain strong working relationships across the directorate and wider department to foster collaboration.
  • Ensure meetings are well-prepared with quality-assured briefing materials.
  • Provide flexible administrative support in a fast-paced environment, adapting to changing priorities and emerging issues.
  • Contribute to the effective running of the Deputy Directors' offices by identifying opportunities to enhance workflows and team coordination.

Skills and Experience Required

  • Proven experience in a Private Office or senior administrative role, including diary management, meeting coordination, and travel logistics in a fast-paced environment.
  • Strong organisational skills with a keen attention to detail, capable of managing competing demands while ensuring high-quality outputs.
  • Excellent communication and stakeholder management skills, with the ability to build effective relationships across senior leaders, teams, and external partners.
  • Resilience and flexibility, demonstrating proactive problem-solving abilities in high-pressure situations.
  • High levels of initiative, discretion, and professionalism, especially in handling sensitive information.
  • Strong digital literacy, particularly with Outlook, Teams, and document coordination tools.
