Summary: The role of Executive Assistant involves providing comprehensive administrative support to the Executive Management Team of a public sector organization in Edinburgh. The position is initially contracted from mid-December 2025 to early February 2026, with the potential for permanent employment. The role requires a hybrid working arrangement and entails managing various administrative tasks, including diary management and meeting coordination. The ideal candidate will possess substantial experience in a senior PA role and strong communication skills.

Key Responsibilities:

  • Provide PA assistance to members of the Executive Management Team.
  • Deliver effective administrative support to Directors, the CEO and Chief Operating Officer, including acting as the first point of contact for internal and external stakeholders, managing diaries, emails, expenses, incoming mail, and travel arrangements.
  • Coordinate, collate, and distribute reports; take accurate minutes for Board, Committee, and other meetings as required.
  • Assist EMT with coordination of activities such as consultations and event planning with internal teams, external partners, and customers.
  • Organise and service Board and Committee meetings, ensuring timely provision of information, accurate records, and well-planned agendas, working closely with the Governance Manager to continuously improve Board reporting.
  • Lead the electronic mailing process for Board and Committee meetings, producing meeting packs and maintaining document records.
  • Support the Governance Manager and Company Secretary in maintaining the Annual Register of Interests, managing Membership, updating registers, and preparing Board reports.

Key Skills:

  • Substantial experience in a senior PA role, including meeting servicing, event organisation, and day-to-day executive support.
  • Proven ability to handle sensitive and confidential information.
  • Strong interpersonal skills and ability to liaise with external partners.
  • Advanced written and oral communication skills for producing correspondence and reports.
  • Skilled in minute-taking and accurate record-keeping.
  • Proficient in MS Office (Teams, Outlook, SharePoint, Word, Excel, PowerPoint).
  • Ability to produce high-quality documents and maintain accurate records.

Salary (Rate): £17.50 hourly

Venesky-Brown’s client, a public sector organisation in Edinburgh, is currently looking to recruit an Executive Assistant for an initial contract Mid Dec 2025 – 6 Feb 2026 (office closed 22 Dec 2025 – 4 Jan 2026), possibility of going permanent, on a rate of circa £16.50-£17.50/hour PAYE – working 35 hours per week. This role will be hybrid working.
