Key Responsibilities:

  • Provide comprehensive administrative and coordination support for awards submissions and film festival activities.
  • Maintain the calendar for a senior leader and manage complex schedules.
  • Coordinate a high volume of internal meetings, including scheduling and managing agendas.
  • Arrange travel and process expense reports efficiently.
  • Prepare agendas, presentations, and materials for team meetings and events.
  • Plan and execute team events and off-sites, managing logistics and vendor sourcing.
  • Manage purchase orders and track budgets for financial accuracy.
  • Act as a liaison with the corporate workplace team for space planning.
  • Maintain distribution lists and communication channels for team communications.
  • Engage in cross-functional communication with internal teams and external partners.

We are seeking a talented individual to join our client’s dedicated Awards team, where your exceptional support will directly contribute to the recognition and success of groundbreaking films, series, and documentaries. This is a 4 months, hybrid contract, offering £193-230 per day (PAYE). This role is open for a limited time. Next steps will be shared with shortlisted candidates by COB on Monday 9th March. What You’ll Do As a pivotal member of the team, you will provide comprehensive administrative and coordination support, playing a critical role in the smooth operation of awards submissions, campaigning, and film festival activities across international regions. Your contributions will directly enable the team to focus on strategic initiatives, ensuring that every detail is meticulously managed. Maintain the calendar for a senior leader, expertly managing complex schedules. Coordinate a high volume of diverse internal meetings, including all-hands and large cross-functional gatherings, often spanning multiple time zones. This includes scheduling, soliciting agenda items, time management, and delegating action items. Arrange all aspects of travel, including processing corresponding expense reports efficiently. Coordinate and assist in preparing agendas, presentations, and materials for team meetings and events, as well as managing follow-up items. Plan and execute team events and off-sites, and provide support for external meetings, including venue/vendor sourcing, logistics, agenda coordination, and presentation setup. Manage purchase orders and track budgets to ensure financial accuracy. Support various team projects and events as needed, demonstrating flexibility and initiative. Act as a key liaison with the corporate workplace team for in-office space planning. Maintain and manage distribution lists, communication channels, and other similar tools, serving as a central point of contact for general team communications. Engage in extensive cross-functional communication and collaboration with internal teams and external partners across multiple countries and time zones.

What You’ll Bring Must-Have Qualifications: Experience in an administrative or executive assistant role. Exceptional communication and interpersonal skills, essential for building strong internal and external relationships. A direct and candid communication style that fosters clarity and efficiency. Proficiency in Google Suite is required. Ability to exercise discretion and maintain confidential information with the utmost integrity. Responsiveness and the flexibility to work across multiple time zones and occasionally on weekends when necessary. A keen understanding of how to prioritize, organize, and respond effectively to dynamic demands. A genuine interest in film, TV, and entertainment. Highly organized, thorough, and proactive, with a willingness to tackle any task. Demonstrated ability to be scrappy, resourceful, and relentless in finding solutions.
