Executive/Administrative Assistant

Summary

We are seeking an experienced Executive Administrator / Executive Assistant to provide high-level administrative support to senior stakeholders and leadership teams. This position requires a highly organised individual with excellent communication skills, strong attention to detail, and the ability to manage multiple priorities within a fast-paced environment. The successful candidate will play a key role in ensuring the efficient operation of the office while handling sensitive and confidential information with professionalism and discretion.

Key Responsibilities

  • Provide comprehensive administrative support to executives and senior management.
  • Manage calendars, coordinate meetings, and organise travel arrangements where required.
  • Prepare correspondence, reports, presentations, financial documents, and other business materials.
  • Process invoices and support basic financial and bookkeeping activities.
  • Maintain filing systems, records management processes, and office documentation.
  • Review and prioritise incoming communications, reports, and requests, ensuring timely distribution and follow-up.
  • Organise board, committee, and departmental meetings, including agenda preparation and meeting logistics.
  • Liaise with internal and external stakeholders, acting as a professional point of contact.
  • Ensure confidential and sensitive information is managed appropriately at all times.
  • Coordinate office administration activities and support wider business operations as required.

  • Previous experience supporting senior executives or leadership teams is highly desirable.
  • Experience providing mentoring, guidance, or support to colleagues is advantageous.
  • Proficient in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.

Qualifications

  • High school diploma, GED, or equivalent qualification required.
  • Minimum of 5-7 years' experience in an Executive Assistant, Administrative Assistant, or similar role.
  • Previous experience supporting executive-level stakeholders is strongly preferred.
