The Role
An excellent opportunity has arisen for a highly organised, proactive and detail oriented Document Controller / Project Coordinator to join a major infrastructure project within a structured and fast-paced civil engineering environment.
This is far more than a traditional administration position.
The successful candidate will take ownership of project documentation, information management processes and compliance tracking while supporting procurement, quality assurance and project coordination activities across site and office teams.
Working closely with operational, commercial and engineering teams, you will play a critical role in ensuring project information is controlled, accurate and submitted in accordance with programme requirements and client standards.
Key Responsibilities
- Document Control (Primary Function)
- Manage and maintain project documentation across multiple client systems and Common Data Environments (CDEs)
- Upload, track and control technical submissions, quality records and project documentation
- Manage RAMS, Temporary Works documentation, quality records and related submissions
- Ensure all documentation is issued at the correct revision status
- Maintain document registers, trackers and approval logs
- Monitor submission deadlines and ensure compliance with programme requirements
- Ensure documentation adheres to project naming conventions and quality standards
- Maintain full audit trails of document revisions, approvals and distribution
- Support the management of information delivery plans and project deliverables
- Procurement & Supply Chain Support
- Support procurement activities for materials, plant and subcontract packages
- Liaise with suppliers regarding technical documentation and certification requirements
- Track delivery schedules and supplier information
- Ensure procurement records are accurately maintained and controlled
- Integrate procurement information with project document control and quality systems
- Support supply chain compliance and documentation requirements
- Project Administration & Compliance
- Maintain project records, registers and structured filing systems
- Manage workforce onboarding and compliance documentation
- Support the administration of inductions, competency records and training requirements
- Assist with workforce compliance tracking and reporting
- Support health, safety, environmental and quality documentation processes
- Assist with site reporting, meeting coordination and project administration activities
- Ensure records are maintained in accordance with project and client requirements
Systems & Software
You will be expected to quickly become proficient in a range of project delivery systems including: Business Collaborator (BC), DALUX, Endev-o, Site Assist, Datascope.
Previous experience with Common Data Environments (CDEs), document management systems or similar construction information management platforms will be highly advantageous.
Experience & Requirements
- Previous experience within a Document Controller position in construction, civil engineering or infrastructure
- Experience managing large volumes of technical and project documentation
- Strong understanding of document control procedures and information management principles
- Ability to work effectively within a fast-paced project environment
- Experience supporting operational, engineering or commercial teams
- Excellent organisational skills and attention to detail
- Strong communication and stakeholder management skills
- Confident using digital project platforms and management systems
- Competent in Microsoft Office applications, including Excel and SharePoint
Desirable Experience
- Experience on HS2 or other major infrastructure projects
- Familiarity with DALUX, Business Collaborator or similar systems
- Experience supporting procurement and supply chain processes
- Previous experience within structured quality assurance and compliance environments
- Experience with Integrity Software Systems or similar project administration platforms
