Summary: The Contract Support Administrator is responsible for managing incoming calls and requests from customers, coordinating engineer resources, and overseeing the ordering of parts and subcontractor labor. This role involves prioritizing customer contracts, managing work in progress, and ensuring compliance with company policies and health and safety procedures. Additionally, the administrator will support the Administration Supervisor and assist with various administrative tasks to enhance operational efficiency.
Key Responsibilities:
- Answer and log incoming calls and requests from internal and external customers.
- Coordinate engineer resources and labor with team members and the Service Manager.
- Order parts and raise purchase orders for subcontractor labor as needed.
- Initiate internal and customer escalation processes.
- Manage projects and ensure successful completion.
- Prioritize customer contracts and outstanding calls, dispatching engineers accordingly.
- Identify cost-saving initiatives.
- Assist others with tasks outside of the role's scope when possible.
- Ensure adherence to company and legislative policies and best practices.
- Manage work in progress from creation to invoice completion and job closure.
- Comply with environmental policies and suggest improvements for efficiencies.
- Adhere to health and safety procedures considering business constraints.
- Generate quotes for customers.
- Update and check clients’ online systems and KPI reports.
- Provide holiday cover for other administration roles.
- Record and control cylinder rentals.
- Support the Administration Supervisor in call management and general administration of service contracts.
